Regional Customer Relations Administrator
Reporting to: Customer Services Manager
Role: To be part of our administrative department and, in association with other team members, the post holder will be required to support the general administrative requirements of One Heart Clinic with
particular focus on supporting our patients through the services to meet our business requirements.

Responsibilities and Duties
· Providing remote support for our regional sites. You will be part of our dynamic, fast paced bookings team handling calls and patient journeys from their inception.
· Coordinating with the different regional hospitals and clinics for diagnostics and assisting the doctors with organising occasional procedures
· Ensures all patient record keeping is clear and up to date.
· Ensures clinician productivity by maintaining calendars; scheduling patient appointments; consultations; professional meetings, conferences, and teleconferences
· Ensures all billing information is correctly gathered, and invoicing is done in a timely manner.
· Maintains the highest level of confidentiality for all One Heart Clinic Patients.
· Actively promotes sign up to our app for patient ease.
· When requested and on occasion generates revenues by completing direct patient and third-party billing; monitoring accounts receivables; initiating collection calls and reminders.
· Secures information by completing database back-ups.
· Keeps office equipment operating by following operating instructions, troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.
· Serves and supports the health care community by adhering to professional standards, Clinic policies and procedures.
· Updates job knowledge by participating in educational opportunities; reading professional publications.
· Enhances clinician office reputation by accepting ownership for accomplishing new and different requests, exploring opportunities to add value to job accomplishments.
· You will be required to log inti our 8x8 phone system at the start of your shift and manage all incoming calls.
· You must be capable of managing personal inbox and general and responding to the Live Chat
· The post holder will be responsible for answering incoming telephone calls and email enquiries, scheduling patient appointments (this includes point of care diagnostics, advanced imaging, and elective procedures), reviewing, and amending clinical letters before processing, billing self-pay
patients and collecting payments and general administrative tasksParticipate in training as advised by Line Manager.
· Ensures that all personal and group tasks are kept up to date with clear notes about communications to patients and all other record keeping.
· Ensures a full written handover is done prior to annual leave and days off.
· Occasional reception cover is required as and when the business needs. Also, requirement to provide patient concierge cover in clinic on a rotational basis and to cover clinic on Saturdays on a rotational basis (Approx. 1 in 8).
· Manage the regional communication groups to ensure timely responses, updates, and active engagement across all locations.
· Provide support to all pathway doctors across all the different regional sites
Permanent / Full time
8 hour days between 8.30am – 7pm
Hybrid Role (In person 2 days / WFH 3 days)
Salary from £30,000
Pay: Up to £30,000.00 per year
