The role of Executive Assistant would be to provide high-quality, proactive and confidential support to the Chief Executive Officer, Chief Financial Officer and Chief People Officer. The role is responsible for ensuring the smooth day-to-day operation of the executive office through expert diary and inbox management, meeting coordination, stakeholder liaison, travel planning, and administrative support.
Essential Criteria:
- Proven experience in an Executive Assistant supporting C-suite leaders.
- Experience of supporting more than one executive simultaneously in a fast-paced environment.
- Excellent organisational, planning and time management skills, with the ability to prioritise effectively.
- Strong written and verbal communication skills, with confidence dealing with senior stakeholders.
- Highly discreet and trustworthy, with experience handling confidential and commercially sensitive information.
- Strong attention to detail and ability to produce accurate, high-quality work at pace.
- Ability to work independently, use initiative and anticipate needs before they arise.
- Confident using Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams.
Key responsibilities will include:
- Managing complex diaries and inboxes, prioritising conflicting demands and ensuring executives are fully prepared for all engagements.
- Monitoring of Executive Support inbox to assist board and committee meetings, and the PRA inbox ensuring to keep a log of correspondence to date and to arrange for periodic review and update of the Regulatory Communications Standard.
- Preparation of high-quality briefing packs, reports, agendas, presentations, and other documents to support executive decision-making.
- Act as Committee Secretary to Executive and sub-committees, including agenda preparation, paper collation, board portal and Executive Control Manual management.
- Supporting Board and Committee processes ensuring timely documentation and proactively following up on actions raised.
- Organisation of onsite or offsite leadership meetings, board or committee meetings, and other key forums, including scheduling, papers, minute-taking, and action tracking.
- Supporting the coordination of executive-led projects, events, and business initiatives on behalf of the executive team.
- Coordination of travel, including logistics, accommodation, and expense management for Executives and Non-Executives.
- Maintenance of accurate records, filing systems and confidential documentation, ensuring information is well organised and accessible.
- To prepare documentation for KYC, PRA and External Auditor requests as required from time to time.
- Identification of opportunities to improve administrative processes, systems, and ways of working to enhance executive office efficiency.
- Provide general administrative support to the wider executive office as required.
