About the Role
We are looking for an organised, proactive and highly professional Personal Assistant to support our Managing Director within a fast-paced construction business. This is a varied role requiring exceptional organisational skills, discretion and the ability to manage multiple priorities while maintaining a high level of accuracy.
The successful candidate will play a key role in ensuring the smooth running of the Director's day-to-day activities and supporting the wider business with administrative and project coordination tasks.
Key Responsibilities
- Manage the Director's diary, appointments and meetings.
- Organise travel arrangements, accommodation and itineraries.
- Screen telephone calls and emails, responding where appropriate.
- Prepare correspondence, reports, presentations and meeting agendas.
- Take accurate minutes during meetings and distribute action points.
- Coordinate meetings with clients, contractors, suppliers and consultants.
- Maintain confidential records and company documentation.
- Monitor project deadlines and assist with programme scheduling.
- Assist with tender submissions and document preparation.
- Liaise with site managers to obtain project updates.
- Manage office supplies and general administrative duties.
- Maintain filing systems, both electronic and paper-based.
- Ensure compliance documentation is up to date, including Health & Safety records.
- Assist with invoice processing and purchase orders.
- Support marketing activities, social media updates and company communications where required.
- Handle confidential information with professionalism and discretion.
- Undertake additional duties as required by senior management.
Skills & ExperienceEssential
- Previous experience as a Personal Assistant or Executive Assistant.
- Excellent organisational and time management skills.
- Outstanding written and verbal communication skills.
- Ability to prioritise workload and work under pressure.
- High level of confidentiality and professionalism.
- Excellent attention to detail.
- Strong Microsoft Office skills (Word, Excel, Outlook and PowerPoint).
Desirable
- Experience within the construction or property sector.
- Knowledge of construction terminology and project processes.
- Experience using project management software.
- Understanding of Health & Safety documentation.
