A new opportunity has arisen to join the business as a Health & Safety and Facilities Controller across our GRS refurbishment sites.
The role will cover two locations, Livingston and Stoke, so some travel will be required. This is expected to be limited to approximately 2–3 nights away once per month at most.
Other duties may be required of the post holder in addition to those listed above and below, to ensure that the requirements of the business are met at all times.
Salary: Depending on experience - will be discussed at interview
Hours: Monday to Friday, 8.00 am to 4.00 pm i.e. 37.5 hours with 30 minutes for lunch (unpaid).
Key tasks
Maintain accurate and up-to-date records for site contractors, servicing, audits, insurance, asset registers, certificates, and meeting minutes.
Plan, coordinate, and lead regular site-level meetings to ensure compliance across all Health & Safety and Facilities functions.
Work closely with site leadership teams to plan and coordinate servicing, maintenance, and repair works, ensuring minimal disruption to day-to-day operations.
Develop clear and effective action plans for site management teams to implement, ensuring ongoing compliance with all relevant Health & Safety requirements.
Act as the key point of contact and lead for all third-party contractors and service providers attending site to carry out works, ensuring they comply with site procedures and Health & Safety requirements.
Key Responsibilities
Regularly monitor and maintain all documentation held on each site’s T: Drive, ensuring records are accurate, current, and readily accessible.
Drive Health & Safety compliance across the sites by monitoring outstanding actions, supporting site teams with their completion, and regularly auditing site performance.
Manage and maintain all site servicing and insurance schedules, ensuring all requirements are completed within the appropriate timescales.
Manage and review all third-party contractor documentation, including RAMS, Work Permits, and Risk Assessments, ensuring all documentation meets business requirements and is approved prior to contractors accessing site or commencing work.
Work collaboratively with site leads to develop, review, and regularly update risk assessments for activities and tasks carried out across the sites.
Work closely with managers and site leadership teams to promote and maintain high standards of Health & Safety compliance, ensuring agreed procedures and controls are consistently followed.
Knowledge/Skills/Experience/Special Requirements
Minimum IOSH accreditation, or demonstrable experience in a similar Health & Safety and Facilities role.
Previous experience working within a large-scale production or operational environment, ideally within a fast-paced administrative role.
Proven ability to work independently, manage priorities, and use initiative to deliver tasks and resolve issues effectively.
Knowledge and understanding of the operational aspects of an automotive defleet and refurbishment centre would be advantageous.
Excellent verbal and written communication skills, with the ability to build effective relationships at all levels of the business.
Strong time management and organisational skills, with the ability to prioritise workloads and adapt quickly to changing circumstances.
Highly organised and detail-focused, with the ability to ensure the smooth and effective day-to-day running of the site.
Proficient in Microsoft Office, including Word, Excel, Outlook, and other relevant Microsoft platforms.
