Summary
We are looking for a highly organised, creative, and customer-focused Events & Wedding Coordinator to plan and deliver memorable weddings, private functions, corporate events, and special occasions. The successful candidate will manage events from the initial enquiry through to the day itself, ensuring every detail is professionally coordinated and every client receives an exceptional experience.
Key Responsibilities
- Meet with clients to understand their requirements, preferences, budget, and vision.
- Plan, coordinate, and manage weddings, parties, corporate events, and other special occasions.
- Prepare event proposals, quotations, schedules, contracts, and other documentation.
- Coordinate suppliers, including caterers, florists, decorators, entertainers, photographers, and venue teams.
- Manage event timelines, room layouts, seating plans, menus, décor, and entertainment requirements.
- Conduct venue visits and client meetings, providing professional advice and creative ideas.
- Liaise with clients and suppliers throughout the planning process and ensure deadlines are met.
- Coordinate event set-up, running of the event, and breakdown where required.
- Act as the main point of contact on the event day, resolving issues quickly and professionally.
- Ensure events are delivered within agreed budgets and to the required quality standards.
- Maintain accurate records of bookings, payments, supplier details, and client communications.
- Support marketing and promotional activities to generate new event enquiries.
- Build strong relationships with clients, suppliers, and venue partners.
- Gather client feedback and identify opportunities to improve future events.
Skills & Experience
- Previous experience in event planning, wedding coordination, hospitality, or a similar role.
- Excellent organisational and time-management skills.
- Strong communication and interpersonal skills.
- Excellent attention to detail and ability to manage multiple tasks simultaneously.
- Ability to remain calm and professional under pressure.
- Strong problem-solving and decision-making abilities.
- Good negotiation and budgeting skills.
- Confident dealing with clients, suppliers, and senior stakeholders.
- Creative approach to event planning and styling.
- Flexible to work evenings, weekends, and public holidays when required.
- Proficiency in Microsoft Office and/or event management software is desirable.
