We are seeking a highly organised and professional School Secretary / Headteachers' PA to join our educational institution in. This vital role involves providing comprehensive administrative support to ensure the smooth operation of the school. The successful candidate will possess excellent organisational skills, be proficient in various office software, and demonstrate exceptional communication abilities. Responsibilities
- Manage all administrative tasks, including handling correspondence, filing, and data entry using Microsoft Office and Google Workspace.
- Maintain accurate records and organise schedules for headteachers and staff.
- Utilise QuickBooks for financial record keeping, invoicing, and expense tracking.
- Answer phone calls with professionalism, demonstrating proper phone etiquette, and direct enquiries appropriately.
- Assist with organising meetings, preparing agendas, and taking minutes as required.
- Support the organisation of school events and activities by coordinating logistics and communications.
- Handle incoming enquiries from parents, staff, and visitors efficiently and courteously.
- Perform clerical duties such as photocopying, scanning, and maintaining office supplies inventory.
- Ensure confidentiality of sensitive information at all times.
Requirements
- Proven administrative experience within an office environment or educational setting.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications.
- Experience with QuickBooks or similar accounting software is desirable.
- Excellent data entry skills with high accuracy and typing speed.
- Previous clerical experience including filing, record keeping, and general office duties.
- Exceptional phone etiquette and communication skills.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Organised with attention to detail and a proactive approach to problem-solving.
