Operations AssistantJob Overview
We are looking for a highly organised, proactive and customer-focused Operations Assistant to support the day-to-day running of the business. The successful candidate will play a key role in coordinating operations, communicating with customers and internal teams, following up new business opportunities, and providing administrative and personal support to the Director.
This is a varied role that requires excellent organisational skills, attention to detail and the ability to manage multiple tasks and priorities in a fast-paced environment.
Key ResponsibilitiesLead Follow-Up & Surveys
- Follow up potential leads and enquiries promptly and professionally.
- Maintain accurate records of leads and follow-up activity.
- Contact prospective customers to understand their requirements and arrange site surveys.
- Book and coordinate surveys with customers and relevant team members.
- Follow up after surveys to help progress opportunities and secure work.
Operations & Scheduling
- Schedule and coordinate work for on-site teams, ensuring jobs are planned efficiently.
- Liaise with site teams to communicate schedules, job details and any changes.
- Monitor upcoming jobs and ensure all necessary information and arrangements are in place.
- Deal with scheduling issues, changes and customer requirements as they arise.
- Maintain accurate job and operational records.
Internal Coordination
- Work closely with the Contracts Manager to support the smooth delivery of projects and contracts.
- Liaise with the Accounts Team regarding customer accounts, invoicing and other relevant administrative matters.
- Ensure information is communicated accurately between office staff, management, site teams and customers.
- Assist with general operational administration as required.
Customer Service
- Provide professional and friendly customer service before, during and after each job.
- Contact customers before work commences to confirm arrangements and ensure they have the necessary information.
- Follow up with customers after completion of work to confirm satisfaction and address any queries.
- Deal with customer enquiries, requests and issues promptly and professionally.
- Help maintain strong customer relationships and a high level of customer satisfaction.
PA & Director Support
- Provide day-to-day administrative and personal assistant support to the Director.
- Manage appointments, meetings, reminders and diary requirements.
- Assist with correspondence, documents, bookings and general administration.
- Help the Director stay organised and ensure important tasks and deadlines are followed up.
- Handle information professionally and maintain a high level of confidentiality.
Skills & Experience
- Previous experience in an administrative, operations, coordination or customer service role is desirable.
- Excellent organisational and time-management skills.
- Strong communication skills, both written and verbal.
- Confident speaking with customers, suppliers and internal teams.
- Ability to manage multiple tasks and prioritise effectively.
- Strong attention to detail and accuracy.
- Good IT skills and confidence using email, calendars and Microsoft Office/Google Workspace.
- A proactive approach with the ability to work independently.
- Professional, friendly and customer-focused manner.
- Ability to remain calm and organised when dealing with changing priorities.
