We are looking for an enthusiastic person to join our busy Operations team to be responsible for undertaking a wide range of reception and administrative duties, and to provide general support to the multidisciplinary team.
The Role:
Key Responsibilities:
Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. Processing of information (electronic and hard copy) in a timely manner including the use of the electronic referral service (ERS).
You may be required to undertake a proportion of your contracted hours within times considered to be extended hours / access as practice need dictates
Primary Responsibilities
The following are the core responsibilities of the Operations Administrator – Patient Services. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels
- Maintaining and monitoring the practice appointment system
- Process personal, telephone and e-requests for appointments
- Triaging and assigning all non-appointment related e-requests to the appropriate persons / teams
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- As required support clinical staff in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
- Processing incoming and outgoing mail in all formats
- Actively signpost patients to the correct services both within practice, PCN and the wider care community
- Initiating contact with and responding to, requests from patients, team members and external agencies
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain all offices, reception front desk and waiting areas and notice boards
- File and store electronic records as required (via EMIS Web and Docman)
- Scanning of hard copy patient related documentation and attaching scanned documents to patient’s healthcare records
- Identifying relevant clinical information documented in patient correspondence, coding appropriately per agreed protocol (supported by lead GP) and completing any detailed actions
- Reviewing records and accurately producing a summary of the patient’s medical history
- Typing letters, reports and associated documentation as required
- Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently using ERS
- Undertaking patient call and recall as directed
- The processing of changes to patient registration, deduction of record and new patient registration
- Action GP2GP tasks
- Process requests for information i.e. SAR, insurance / solicitor’s letters and DVLA forms (manually and via iGPR)
- Process incoming e-test results, ensuring they are referred to the relevant clinician
- Manage all administrative queries as necessary
- Carry out system searches as requested
- Process all DNA letters in accordance with current protocol
- Support all clinical staff with general administrative tasks as requested.

In addition to the primary responsibilities, the administrator may be requested to:
- Partake in audit as directed by the audit lead
- Support operations staff across all task areas, providing cover during staff absences
- Produce meeting agendas and record the minutes of meetings
- Complete opening and closing procedures in accordance with the duty rota
- Ordering and monitoring of stationery supplies
