The role:
AIS Marine are looking for a highly organised and proactive individual to join our friendly team. This role is focused on our HippoLeisure operations and provides essential administrative and operational support to the Projects Manager to ensure the successful delivery of interactive waterplay manufacturing and installation projects.
Working closely with internal departments including Design, Manufacturing, Procurement, Logistics, Finance, and Installation, the Project Coordinator supports every stage of the project lifecycle.
What will you do as our Project Coordinator:

Support the Projects Manager with the day-to-day administration of multiple projects.

Update project management software and internal reporting systems.

Record and distribute meeting minutes and action lists.

Raise purchase orders in accordance with company procedures.

Track material orders and delivery schedules.

Coordinate with the manufacturing department to monitor production progress.

Assist in scheduling installation teams and subcontractors.

Act as a point of contact for clients, suppliers, and subcontractors on routine project matters.

Coordinate deliveries to site, ensuring materials arrive on time.

Prepare installation packs, drawings, and project documentation for site personnel.

Maintain training records and certification for project personnel

Process supplier invoices and delivery notes.

Support preparation of project valuations and final accounts.

Assist with project close-out documentation and handover pack

Provide general administrative support to the wider operations team as required.
What are we looking for in our Project Coordinator:

Previous experience in an administrative or project coordination role.

Excellent organisational and time management skills.

Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).

Desirable:

Experience within manufacturing, construction, engineering, playgrounds, water features, or leisure attractions.

Familiarity with project management software (e.g. Microsoft Project)

Experience with procurement or purchasing processes.

Understanding of technical drawings and specifications.

Knowledge of Health & Safety documentation and site processes.

Experience working with ERP or MRP systems.

This is a full time, office based role working Monday to Thursday 08:00 - 16:45 and Friday 08:00 - 12:30.
