Job Summary
Felosama Integrated Services Ltd. is seeking an organised, proactive, and results-focused Project Supervisor to join our team in Edinburgh.
As a Project Supervisor, you will supervise day-to-day project activities, coordinate project teams and resources, monitor schedules and deliverables, and help ensure assigned projects progress according to agreed requirements and deadlines.
You will work closely with project managers, operations teams, administration, technical teams, suppliers, contractors, and other stakeholders to coordinate workloads, monitor project performance, resolve routine delivery issues, maintain documentation, and support successful project completion.
This position is suitable for candidates with experience in project coordination, project supervision, project support, PMO, operations, service delivery, business services, technical projects, or similar professional environments. Candidates with strong project-coordination experience who are ready to progress into a supervisory role are also encouraged to apply.
What You'll Do
- Supervise day-to-day activities across assigned projects and workstreams.
- Coordinate project team activities, workloads, priorities, and deadlines.
- Support project managers with planning and execution of project activities.
- Maintain and monitor project schedules, milestones, deliverables, and action trackers.
- Follow up with team members and stakeholders on outstanding tasks and commitments.
- Monitor project progress and highlight potential delays, dependencies, or delivery concerns.
- Organise project meetings, progress reviews, and working sessions.
- Prepare meeting agendas, minutes, action items, and follow-up communications.
- Coordinate communication between project teams, operations, administration, technical teams, suppliers, and management.
- Maintain accurate project documentation, records, reports, trackers, and digital files.
- Support tracking and management of project risks, issues, dependencies, decisions, and changes.
- Prepare project status reports, spreadsheets, presentations, dashboards, and management updates.
- Support resource planning and workload coordination across assigned projects.
- Coordinate routine supplier, contractor, and third-party project activities where required.
- Monitor project quality requirements and help ensure agreed procedures are followed.
- Support project implementation, deployment, transition, and handover activities.
- Maintain project information within approved project-management, workflow, and collaboration systems.
- Assist with routine budget tracking, purchasing, invoices, and project-cost administration where applicable.
- Provide practical guidance and support to project coordinators and project-support colleagues.
- Support onboarding and knowledge sharing for project team members where appropriate.
- Identify recurring project-delivery issues and recommend practical improvements.
- Contribute to continuous improvement across project-management and delivery processes.
Requirements
- Previous experience in project coordination, project supervision, project support, PMO, operations, service delivery, business services, technical projects, or a related environment is preferred.
- Strong organisational and time-management abilities.
- Good project coordination and task-management skills.
- Strong written and verbal communication abilities.
- Strong attention to detail and accurate documentation skills.
- Ability to coordinate multiple projects, priorities, deadlines, and stakeholders.
- Good problem-solving, decision-support, and follow-up abilities.
- Comfortable preparing project reports, spreadsheets, presentations, meeting notes, and project documentation.
- Familiarity with Microsoft Office, Microsoft 365, Google Workspace, or similar productivity applications.
- Familiarity with project-management and collaboration platforms is advantageous.
- General understanding of project schedules, milestones, deliverables, risks, dependencies, and change management is helpful.
- Familiarity with Agile, Scrum, Waterfall, PRINCE2, or similar project-management approaches is advantageous but not essential.
- Ability to communicate professionally with project teams, managers, clients, suppliers, and other stakeholders.
- Previous supervisory, senior coordinator, team-lead, coaching, or mentoring experience is advantageous.
- Ability to provide practical guidance and support to project team members.
- Ability to work independently while collaborating effectively across multiple teams.
- Willingness to learn new project-management systems and business processes.
- Relevant education, professional training, or equivalent practical experience will be considered.
- PRINCE2, Agile, Scrum, APM, or similar project-management training or certification is advantageous but not essential.

Pay: £2,750.00-£3,600.00 per month
