Business & Operations Assistant
Salary: £27,000 per year
Working pattern: Full-time or 4 days per week (pro rata)
Location: Office-based
Industry: Property & Business Services
About us
Dowbusz Group is a growing group of businesses operating mainly within the property sector.
Our businesses cover property sourcing, renovations, lettings, accounting and events, which means there is always something happening and no two days are quite the same.
We are looking for a proactive, organised and reliable Business & Operations Assistant to join our team and help us with the day-to-day running of the businesses.
This is a varied, hands-on role for someone who likes getting things done.
You might be dealing with a client in the morning, organising documents and checking upcoming renewals later in the day, following up with a contractor, helping with a property-related task or supporting us with an upcoming event.
We are not looking for someone who needs to be given a new to-do list every morning.
We are looking for someone who will learn how our businesses work, take ownership of their responsibilities and gradually become the person who helps us make sure nothing gets missed.
What you'll be doing
Your day-to-day responsibilities will include:
- Supporting the day-to-day administration and operations across our businesses
- Communicating with clients, tenants, contractors, suppliers and other business contacts
- Managing emails, calls and general business correspondence
- Preparing, organising and maintaining company and property-related documentation
- Keeping digital and physical files organised and up to date
- Keeping track of important dates, document expiries, renewals, agreements, certificates and other deadlines
- Making sure documents are renewed, updated or followed up on when required
- Keeping track of outstanding actions and following up with the relevant people
- Coordinating appointments, meetings, property visits and other day-to-day activities
- Supporting our property sourcing, renovation and lettings businesses
- Liaising with contractors and suppliers and following up on works, quotes or information when required
- Helping with client enquiries and making sure they are passed to the right person or dealt with appropriately
- Assisting with events and other projects across the group
- Updating spreadsheets, systems, records and internal trackers
- Helping with practical day-to-day business tasks when needed
- Spotting things that need attention and helping us find solutions
The role will evolve as you learn the businesses, and we would like the right person to take on more responsibility over time.
The person we're looking for
Experience is useful, but for us, attitude is just as important.
We want someone who is naturally organised, switched on and likes to get things done.
You will be someone who:
- Is proactive and takes initiative
- Has a genuine “I’ll sort it” attitude
- Learns quickly and isn't afraid to ask questions
- Is organised and good at keeping track of multiple things at the same time
- Notices when something needs to be followed up instead of waiting to be reminded
- Takes ownership of tasks and sees them through to completion
- Is comfortable speaking with clients, contractors and suppliers
- Communicates professionally and confidently
- Has good attention to detail
- Is reliable and trustworthy
- Can adapt when priorities change
- Is comfortable working in a fast-moving environment
- Is confident using email, spreadsheets and everyday office software
- Is keen to learn, develop and take on more responsibility
Most importantly, we are looking for someone with energy, common sense and a strong work ethic.
You don't need to know everything on day one. We can teach you our businesses and our processes.
What we need from you is the willingness to learn and the attitude to get things done.
Essential requirements
- Full UK driving licence
- Access to your own car
- Good spoken and written English
- Good computer skills
- Ability to work from our office
- Right to work in the UK
Previous experience in administration, property, lettings, customer service, office support or operations would be an advantage, but it is not essential for the right person.
What we offer
- £27,000 per year
- Full-time or 4-day-per-week option
- A genuinely varied role where no two days are the same
- Exposure to several different businesses
- The opportunity to learn about property sourcing, renovations, lettings, accounting and events
- The chance to develop your skills across administration, operations and client communication
- Increasing responsibility as you grow into the role
- The opportunity to become an important part of a growing group of businesses
Does this sound like you?
You are probably the right person for this role if you are the type of person who sees that something needs doing and gets on with it.
You like being organised. You enjoy variety. You are comfortable dealing with different people and different tasks. You like learning new things and you want a role where you can develop rather than doing exactly the same job every day.
If you are looking for an opportunity to learn, take responsibility and grow with a group of businesses, we'd love to hear from you.
