Overview
We are seeking a dynamic and organized Sales Orders, Business Administration & Office Manager for a 12-month fixed-term contract. This role offers an exciting opportunity to oversee sales order processing, manage administrative functions, and lead office operations with enthusiasm and precision. The ideal candidate will bring strong organizational skills, excellent communication abilities, and experience in office management to support our team’s success.
Duties
· Lead and manage the Business Administration Team to ensure timely and accurate invoicing of sales to customers using a combination of non-EDI and EDI methods.
· Credit control – taking and allocating customer payments and chasing overdue invoices, liaising with the Commercial Department when payment reminders are ignored.
· Managing the Team so that customer queries and complaints are handled and dealt with in a timely manner, with correspondence forwarded to relevant stakeholders.
· Overseeing the switchboard function of the business so that enquiries are fielded effectively.
· Supervising and monitoring the work of the Team in general and ensuring that daily objectives
are met.
· Managing employee holidays and attendance etc. and providing cover during absence/annual
leave.
· Hiring, training and evaluating employees and taking corrective action when necessary.
· Developing, reviewing, and improving administrative systems, policies, and procedures.
· Placing orders for stationery, office supplies & other business items both via Amazon and with approved Suppliers.
· Approving invoices for payment and managing office budgets.
· Planning and organising company events and lunches for meetings/customer visits.
· Preparing and reviewing reports as required (i.e. weekly Sales Orders Report).
· Maintenance of PPE stock for visitors i.e. sign in/out procedure for stock taken and request more stock when running low.
· Providing support to the Financial Controller and Commercial Director.
· Assisting the Commercial Team with implementing price increases.
· Overseeing the booking and correct invoicing of couriers/general haulage/pallet network.
· Overseeing the Team so that Nav customer records are kept up to date.
Experience
- Proven experience in office management or administrative roles within a busy environment
- Supervising or team management experience demonstrating leadership skills
- Excellent communication skills with the ability to liaise effectively across departments
- Exceptional organisational skills with attention to detail in clerical and administrative tasks
