We are a long established Chartered Accountancy Firm based in Fareham providing accounting, tax, payroll and business advisory services to a diverse range of clients. We are looking for a friendly, organised and proactive Office Administrator to support the smooth day-to-day running of our office and ensure an excellent experience for both clients and staff.

As Office Administrator, you will be responsible for supporting the administration and operational functions of the practice. You will act as a key point of contact for clients, visitors and staff, ensuring that office processes run efficiently and professionally.
Responsibilities
- Answer and direct incoming telephone calls.
- Greet clients and visitors in a professional and welcoming manner.
- Assist with client onboarding and administrative processes.
- Prepare engagement packs, letters and other client documentation.
- Maintain accurate client records and databases.
- Support the scheduling of meetings, appointments and room bookings.
- Assist with document filing, scanning and electronic record management.
- Support the administration of payroll, accounts and tax workflow processes where required.
- Liaise with clients, suppliers and external contacts.
- Assist directors and members of the team with general administrative duties.
- Ensure compliance with internal policies and confidentiality requirements.
- Help maintain a professional, organised and efficient office environment.
Experience
- Have previous administrative or office support experience.
- Possess excellent communication and interpersonal skills.
- Be highly organised with strong attention to detail.
- Have a professional and confident telephone manner.
- Be able to prioritise workloads and manage multiple tasks effectively.
- Be proficient in Microsoft Office, including Outlook, Word and Excel.
- Be reliable, self-motivated and able to work as part of a team.
- Maintain confidentiality and handle sensitive information appropriately.
- Previous experience within an accountancy practice, professional services firm or similar office environment.
- Experience using document management, CRM or practice management systems.
- Understanding of client service standards within a professional practice.
