What the role involves
We are seeking a committed and experienced Receptionist and Clinic Administrator to join our small, growing company. You will work with our clinicians and instructors across all our services and handle a high volume of enquiries via phone, email and in person. Reporting directly to the clinic manager, your primary responsibility is to provide patients with the highest standard of customer service and attention to detail. You need to ensure that all patients have a flawless journey from first contact to initial consultation right through to after care. You will assist with the day-to-day administrative tasks such as: answering calls, welcoming patients, responding to patient enquiries, stock checking & ordering, clinic and studio space maintenance, taking personal information and patient/class bookings, clinic diary management and assisting with invoicing and billing patients.
What we are looking for
- At least 1 year experience of working in a similar high-end environment, delivering exceptional levels of customer service;
- Excellent IT and admin skills, with a good working knowledge of Excel, Google drive and previous client booking systems. The systems used at PhysioSpace are Cliniko & Mindbody, it is desired that you have used both before;
- Multi-tasking and prioritisation with a proactive approach to working in a fast-paced environment;
- A team player with the ability to work in a calm and efficient manner while working in a busy environment;
- Very good communication skills and written English;
- A polished appearance and professional manner with a smile for all our clients. Traditional values and manners are expected when greeting and liaising with the team and patients.

Working Pattern
Our clinic opening hours are 8:00am–8:00pm. We are looking for an individual who can ideally work five days per week, with standard hours of 8:00am–4:00pm, Monday to Friday. Flexibility is essential, as occasional adjustments to working hours may be required to meet the needs of the clinics, particularly during periods of annual leave.

This role is based across both of our Cardiff clinics:
- Penylan – CF23 5DS
- Pontcanna – CF11 9LL
The successful candidate will be expected to work across both locations as required.
Contract
This is initially a 6-month fixed-term contract with a 1-month probationary period. There is the opportunity for the role to become permanent for the right candidate, subject to performance and business needs.
