We are looking for a proactive full-time Business Support Administrator to perform a wide range of administrative and office support activities for the departments, branch directors and engineers to facilitate the efficient operation of the organisation. You will work closely with both the technical and Core Functions teams to deliver tasks. The role is based in our St Mellons (Cardiff) office. The ideal candidate would be a self-starter, who is organised, accurate and efficient, with good communication skills (written and verbal). Recent graduates, college leavers, or candidates looking to develop a career in business administration are encouraged to apply. Training and support will be provided to help you develop in the role.
Duties
- Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, InDesign to produce correspondence and documents, presentations, and spreadsheets to the required standard
- Supporting the business in maintaining bid and project records on database
- Engaging in social value with the local community as our social value commitment requires.
- Coordinating new starters set up: preparing workplace/ordering IT, PPE etc.
- Prepare, edit and format key business documents such as correspondence, proposals, site inspection reports, technical specifications, and internal communications, including correspondence, bids, reports, site inspections, specifications and emails
- Front office operations, including business wide incoming telephone calls and greeting visitors
- Assisting with the adoption and integration of AI tools in workflows, including co-pilot for meeting management, documentation, and process coordination.
- Ordering and maintaining stationery
- Day to day office tasks to ensure the appropriate level and standard of service is maintained
- Schedule and coordinate meetings, appointments and travel arrangements for staff
As a guide, we are looking for the following criteria:
- Excellent organisational and time management skills
- Strong administrator who can maintain good, user-friendly office systems and processes
- Excellent attention to detail
- Strong basic education including Maths and English
- Preferably office administration qualifications or appropriate experience
- Ability to work independently and in a team environment
- Knowledge and experience of Office 365 software applications and database management
- Strong interpersonal and verbal communication skills
