Full time for 40 hours per week working Monday to Friday.
Role Overview
We are seeking a proactive, detail-oriented and extremely organised HR Administrator to join our human resources department. In this vital role, you will support the day-to-day HR operations, ensuring smooth administrative processes and effective communication across the organisation. Your experience in HRIS, data entry, and HR management tools will help us maintain accurate records and foster a positive employee experience. This position offers an exciting opportunity to contribute to our organisation’s growth while developing your skills in human resources and administrative functions.
You will provide high-quality HR support to HR Officer, Operations Manager and all staff and Line Managers and maintain an effective and efficient range of HR activities e.g. recruitment, on-boarding, induction, responding to general HR queries, training and development, organising leaving party when required, planning and organising staff-away day. To support the HR Officer on a wide range of HR activities and administration. You will be directly responsible for ensuring that our filing system is organised and up to date. And always ensure GDPR practices.
Main Duties and Responsibilities
- To work in a meticulously organised manner and ensure proper processes are followed. To ensure to stay on top of all manual filing of all documentation i.e. staff filing cabinet and other administrative ad hoc cabinet.
- To support the aims and objectives of the Charity by providing a professional HR service.
- To work in partnership with the HR Officer and Operations Manager in relation to all HR related matters.
- To be responsible for return-to-work interview after a period of 3 days sick leave.
- To be responsible for on- boarding and exit process for all employees.
- To Ensure that all advice given to employees is in line with current Employment Law legislation and best practice and seeking advice from the Employment Law Consultant where appropriate.
- Responsible in producing a quarterly Employee Newsletter.
- Ensure efficiency in all aspects of payroll and pension paperwork collated, in a timely manner.
- Respond efficiently to day-to-day general enquiries on HR matters.
- A commitment to continuing professional development and keeping up to date with employment law changes.
- To update health insurance records monthly in line with new starters and leavers
- To update our pension scheme monthly with new starters or leavers
- To keep all trackers up to date with accurate information e.g. sickness trackers, staff records etc
- To undertake the administration and processes necessary to ensure proactive, customer focused, high quality and effective HR service. To help improve existing procedures where necessary and to ensure these processes remain user friendly and efficient. To ensure that all paperwork and data is accurate and effectively stored in line with data protection for clear access.
- When required, to work with the designated Employment Law Consultant to advise managers on a wide range of people matters e.g. disciplinary, grievances, performance management and general terms and conditions of employment. Furthermore, to keep the Chief Executive updated on all staffing matters.
- Where applicable ensure that regular supervisions and annual appraisals are carried out; this may mean adapting working hours to facilitate on job monitoring and staff meetings.
- Work to agreed individual, team and organisational objectives to meet QVSR’s performance expectations.
- To be responsible for collating documents as required by finance for the auditors
- To perform regular contract audits as and when instructed.

- Excellent attention to detail and a high level of accuracy.
- Self-motivated, organised, and able to manage priorities effectively.
- An interest in HR is highly desirable; however, previous HR experience is not essential.
- Full training and development will be provided for the right candidate.

- Undertake, as required, any other duties within the daily operation of QVSR to maintain delivery of service.
