Job Summary
We are seeking a highly organised and detail-oriented Office Administration Assistant to support our administrative team. The successful candidate will be responsible for managing daily office tasks, maintaining accurate records, and ensuring smooth communication across departments. Responsibilities
- Managing incoming calls with professional phone etiquette and directing enquiries appropriately
- Organising and maintaining physical and electronic filing systems for easy retrieval of documents
- Performing data entry tasks with accuracy using Microsoft Office, Google Workspace, and QuickBooks
- Assisting with scheduling appointments, meetings, and coordinating calendars for team members
- Preparing correspondence, reports, and other documentation as required
- Supporting invoicing, billing, and basic bookkeeping activities using QuickBooks
- Handling general administrative duties such as photocopying, scanning, and distributing mail
- Ensuring office supplies are stocked and ordering replacements when necessary
- Providing support to other departments with ad hoc administrative tasks to ensure operational efficiency
Skills
- Proven office experience with strong organisational skills and attention to detail
- Proficient in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and basic data entry techniques
- Previous clerical or administrative experience is highly desirable- especially in financial services
- Excellent phone etiquette with clear communication skills
- Accurate typing skills to facilitate efficient data entry and document preparation
- Strong organisational abilities to manage multiple tasks simultaneously in a busy environment
- Ability to work independently with minimal supervision while maintaining a professional attitude

Pay: £24,500.00-£27,000.00 per year
