What is the main purpose of the role?
· First point of contact at the hotel for all wedding enquiries from initial enquiry to confirmation contract stage.
· First point of contact at the hotel for all special event enquiries from initial enquiry to coordination of planning.
Key Responsibilities and Duties
- Be the person in charge of all wedding and special events enquiries and the main point of contact throughout the booking and planning process.
- Ensure all enquiries are chased within the time frame agreed between the client and the hotel and details are accurately recorded.
- Ensure all contracts, deposits and event details are handled efficiently and within the deadlines given.
- Meet with clients to run through details of forthcoming wedding, & events, future requirements and to present the hotel facilities and services.
- Create event sheets detailing all the client’s final details and requests before the event and attend function sheet meeting weekly.
- To liaise with the rest of the team, ensuring all information is communicated effectively to the relevant departments.
- Upsell and cross sell as frequently as possible to ascertain special occasions and to add as many comments as possible to reservation details
- To ensure all opportunities to generate revenue for the hotel are maximised and there is a strong channel of communication between sales to ensure effective, efficient and wholly beneficial operations for both staff and guests alike
- To maintain the standards and procedures that are set in place in conjunction with effective diary management, to maximize sales potential
- To ensure that all rates quoted are in line with the hotel and company selling strategy
- To ensure all new enquires are dealt with promptly
- Conducting professional hotel show rounds and follow up with accurate proposals
- To be fully conversant with facilities, services and promotions offered by the hotel, and where possible to pass this information on to the guest whenever the opportunity arises
- To be able to handle proactively, all guest feedback, positive and negative, and record correctly
- You will ensure all details of weddings and social events enquiries are recorded accurately.
- Assist in achieving budgets and targets set for this segment and the overall budget of the hotel
Skills required
· Experience of 1 year in the same or similar role in weddings and events.
· Excellent organisational skills and the ability to prioritise tasks
· The ability to perform well under pressure
· The ability to multitask and prioritise your own workload
· Attention to detail to ensure that every aspect of an event is perfect
· Excellent communication skills both written, verbally and in person
· A high level of IT skills including outlook, word & excel
