Assistant Operations Manager
Nova Horizon Investment has recently expanded from London into Birmingham, and we are recruiting an Assistant Operations Manager to help establish and run our new city centre branch at Victoria Square. This is a genuine operational role with real responsibility, working closely with the Operations Manager and Company Director to build the processes, reporting and internal systems that a growing office depends on.
You will sit between administration and management. Rather than looking after a diary, you will coordinate workflows across departments, keep operational trackers accurate, follow up outstanding actions and turn information from across the business into clear updates for senior management. As the Birmingham operation develops, you will play a practical part in shaping how it works.

The Role
Because our work brings finance, commercial strategy and operations close together, information and actions need to move accurately between teams. The Assistant Operations Manager helps create that structure. You will support the Operations Manager with the day to day running of the Birmingham office, monitor deadlines and workflow progress, maintain management information and help implement consistent processes as the branch grows. You will report to the Operations Manager while working directly with the Company Director, so you will need to be comfortable with detailed daily tasks as well as information that senior management will rely on.
Key Responsibilities
- Supporting the Operations Manager with the daily running of the Birmingham office and its branch operations
- Coordinating workflows between operations, finance, investment operations, client services and business development
- Maintaining operational trackers, spreadsheets and internal systems, and keeping management information accurate and up to date
- Monitoring deadlines and outstanding actions, and following these up with the relevant colleagues
- Gathering information from across departments and preparing clear weekly and monthly operational reports for the Operations Manager and Director
- Maintaining accurate business records, files, documentation and internal databases, and supporting quality checks to ensure records are complete
- Assisting with the implementation of company procedures and internal controls within the Birmingham branch, and helping document standard operating procedures as it develops
- Identifying recurring bottlenecks, documentation gaps or inefficient ways of working, and recommending practical improvements
- Coordinating internal meetings, preparing operational information and recording agreed actions
- Supporting the operational side of new employee onboarding, including systems, documentation, workspace and internal processes
- Liaising with colleagues in the established London operation to keep processes and standards consistent between locations
- Supporting the administration around client meetings, workshops, briefings and company events when required
- Handling confidential financial, client and company information appropriately, and supporting compliance related record keeping
- Taking responsibility for agreed operational projects and seeing them through from instruction to completion
About You
- Previous experience in operations, administration, business support or a similar professional office environment
- Strong organisation, with the ability to manage several priorities at once and keep track of detail
- Confident working with spreadsheets, reports, records and business information, with good Microsoft Office skills, particularly Excel, Word and Outlook
- Clear, professional written and verbal communication
- Comfortable working with senior colleagues, including an Operations Manager and Director
- Able to follow established processes while recognising where they could work better
- Sound judgement and discretion when handling confidential business or client information
- Able to follow up actions and deadlines reliably without constant supervision
- Strong coordination skills across different people and departments
- An interest in business operations, financial services or professional services
Experience within financial services, investments, professional services, banking, insurance or accountancy is welcome and useful, though it is not essential. We are happy to consider candidates bringing transferable experience from other professional office environments. No degree is required.
What We Offer
- Salary of £28,500 to £30,000 per year, depending on experience
- Permanent, full time employment
- Monday to Friday, 8:30am to 5:00pm
