We are looking for a motivated, organised, and enthusiastic Office & Sales Administrator to join the friendly team at The Old Hall Ely.
This is a varied and rewarding role where you'll become the welcoming face and voice of the business, supporting the smooth day-to-day running of our hotel and events operation. You'll play a key part in delivering outstanding customer service while managing enquiries, bookings, administration, and client communications.

Key Responsibilities
Guest Services & Front Office
- Deliver exceptional customer service and act as a welcoming first point of contact for guests and clients.
- Smooth check-in and check-out procedures.
- Assist with reservations, room allocations, VIP arrivals, and special requests.
- Liaise with Housekeeping and Maintenance to ensure rooms are prepared for guest arrivals.
- Handle guest enquiries and resolve/respond any issues professionally and efficiently.
- Maintain health, safety, and security standards and respond appropriately in emergency situations.
Sales & Event Administration
- Manage all sales enquiries from initial contact through to booking confirmation.
- Prepare proposals, conduct client meetings, and maintain accurate enquiry records.

- Update and manage client information within the CRM system and third-party booking platforms.
- Assist with the planning and administration of weddings, corporate events, and private celebrations.
Office Administration
- Maintain organised records of contracts, correspondence, and event documentation.
- Respond to telephone calls, emails, and general enquiries relating to accommodation and events.
- Support the smooth running of daily office operations through efficient administrative processes.
Accommodation & Booking Management
- Manage reservations across third-party booking platforms and online travel agencies.
- Process bookings accurately and ensure prompt communication with guests.
- Monitor room payments and follow up on outstanding balances where required.
- Coordinate with internal departments to ensure accommodation is prepared for arrivals.
Client Communication
- Act as a key point of contact for clients, providing clear, professional, and timely communication throughout their journey.
- Arrange venue tours, client meetings, and follow-up appointments.
- Build and maintain strong relationships with repeat clients and key accounts.
About You
We're looking for someone who has:
- Previous experience in an administrative, sales support, or hospitality role (hotel or events experience is advantageous).
- Excellent organisational skills with the ability to prioritise and manage multiple tasks.
- Strong attention to detail and a proactive approach to problem-solving.
- Outstanding written and verbal communication skills.
- The ability to work independently while also contributing positively to a collaborative team.

Pay: From £28,000.00 per year
