Overview
We are seeking a highly organised, professional, and proactive Administrator to join our Soft Services Helpdesk team within the Cleaning Department.
In this role, you will be the first point of contact for our clients, delivering a high standard of customer service while supporting the day-to-day operation of our cleaning services. You will liaise with clients, management, contractors, suppliers, and our mobile teams to ensure work is coordinated efficiently and completed to a high standard.
Duties
- Liaising with operation and account managers for contracted and reactive works.
- Build and maintain strong customer relationships, acting as a trusted point of contact throughout service delivery.
- Helping to ensure compliance with health & safety requirements & procedures.
- Support clients from beginning to end, updating records on CRM package.
- Scheduling the Company Mobile Teams and Subcontractors workload.
- Assist team with permits to work, RAMS and compliance requirements.
- Working closely with helpdesk and operations team to provide high customer satisfaction.
- Collate documentation to facilitate quotation and subsequent invoicing.
- Ordering materials and equipment for works.
- Assist operations team with site setups.
- Manage subcontractors and suppliers, including onboarding and monitoring progress
- Gain customer feedback and manage client SLA’s and KPI’s.
- Processing incoming enquiries, providing clients with a regular updates
Desirable Skills & Experience
- Previous experience using Simpro or a similar job management system.
- Experience working within a cleaning, facilities management, or soft services environment.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Exceptional phone etiquette and customer service skills.
- Ability to work independently as well as part of a team in a fast-paced setting.

Pay: £30,000.00-£35,000.00 per year
