Overview
As a Crew Booking Coordinator, you will be responsible for planning, scheduling, and coordinating rigging and technical crew for live events, tours, shows, and festivals across the UK. This role ensures all events are fully staffed, logistically supported, and operationally ready. Responsibilities include recruitment, scheduling, administration, and participation in the out-of-hours emergency rota.
Core Responsibilities
1. Planning & Coordination
- Allocate crew resources for upcoming events and resolve staffing challenges proactively.
- Brief crew with project details, ensuring clarity and accuracy.
- Manage crew schedules, handling last-minute changes and problem-solving as needed.
2. Logistics & Operations
- Organise crew travel and accommodation when required.
- Maintain an up-to-date database of crew skills, certifications, and availability.
- Document crew performance, including attendance, punctuality, and feedback.
- Oversee administrative tasks such as invoice processing and record-keeping.
3. Recruitment & Support
- Work closely with the resources team to recruit and onboard new crew members.
- Participate in the weekend emergency phone rota once fully trained.
4. Problem-Solving & Reporting
- Address scheduling conflicts and adapt to project changes efficiently.
- Report any resource or scheduling challenges in a timely manner.
