Private Accountant, Personal Assistant & Financial AdviserAbout the Role
I am looking for an exceptionally experienced, discreet and financially sophisticated Private Accountant, Personal Assistant & Financial Adviser to become my trusted financial right hand.
This is a high-trust position responsible for maintaining a complete overview of my personal finances, keeping my financial affairs organised, helping me make informed decisions about major purchases and property, coordinating with my professional advisers, and ensuring my financial administration is handled accurately and efficiently.
This is not simply a bookkeeping or administrative role.
I am looking for someone who can understand the bigger picture of my finances, provide honest financial guidance, challenge my decisions when appropriate and make sure I always have a clear understanding of my financial position.
Ultimately, I retain complete control over my money and make all final decisions.
1. Personal Financial Management
You will maintain a comprehensive and up-to-date overview of my personal financial position, including:
- Bank accounts
- Cash balances
- Property
- Vehicles
- Watches, jewellery and other significant personal assets
- Business interests
- Other major personal assets
- Liabilities and outstanding debt
- Monthly income
- Monthly expenditure
- Recurring commitments
- Upcoming payments
- Tax liabilities
- Insurance obligations
- Other significant financial commitments
You should always be able to provide a clear answer to:
“Where do I stand financially today?”2. Monthly Financial Overview
I want a clear and concise monthly financial overview covering:
- Total net worth
- Liquid assets
- Cash available
- Property
- Business interests
- Liabilities
- Monthly income
- Monthly spending
- Net monthly cash flow
- Major expenses
- Changes in net worth
- Upcoming financial commitments
- Upcoming taxes
- Planned major purchases
- Property-related commitments
- Important financial decisions requiring attention
The reporting should be professional, easy to understand and focused on the information that actually matters.
3. Spending & Budget Management
All significant personal expenditure should be properly tracked, categorised and reviewed.
This should include:
- Household expenses
- Personal expenses
- Travel
- Restaurants
- Entertainment
- Shopping
- Vehicles
- Property
- Staff
- Subscriptions
- Insurance
- Professional fees
- Luxury purchases
- Other discretionary spending
I am not looking for an unnecessarily restrictive budget.
Instead, I want someone who can answer:
“What can I comfortably spend while still making financially intelligent decisions?”
The objective is to maintain an enjoyable lifestyle while ensuring spending remains sensible relative to my overall financial position.
4. Major Purchase Advice
One of the most important parts of the role will be helping me evaluate significant purchases before I commit to them.
Examples may include:
- Cars
- Property
- Watches
- Jewellery
- Boats
- Private aircraft
- Luxury travel
- Businesses
- Other high-value purchases
For significant purchases, I want an objective analysis covering:
- Purchase price
- Cash purchase vs finance
- Financing options
- Depreciation
- Running costs
- Insurance
- Tax implications
- Maintenance
- Resale value
- Opportunity cost of the money
- Impact on liquidity
- Impact on overall net worth
- Ongoing financial commitment
- Whether the purchase is financially sensible
I want honest advice rather than agreeable advice.
If I can afford something but you believe it is financially inefficient or simply a poor decision, I expect you to say so.
For example:
“You can afford this, but I don't think you should buy it.”
That is exactly the type of advice I want.
5. Property & Major Asset Planning
Property will be an important part of the role.
You may be required to assist with evaluating:
- Residential property
- Commercial property
- Property purchases
- Property sales
- Property financing
- Mortgages
- Property running costs
- Property taxes
- Insurance
- Maintenance
- Renovation costs
- Rental income where applicable
- Overall affordability
- Impact on liquidity and net worth
Before a major property purchase, I want to understand the full financial commitment, not simply the purchase price.
6. Tax & Accounting Coordination
You will work closely with my accountant and tax advisers where appropriate.
Responsibilities will include:
- Maintaining organised financial records
- Preparing information required by accountants
- Tracking tax liabilities
- Forecasting upcoming tax payments
- Monitoring important tax deadlines
- Coordinating with tax advisers
- Identifying tax considerations surrounding major purchases and property
- Maintaining a central record of important financial documents
- Ensuring requested information is supplied promptly
You will not replace any specialist regulated adviser where their professional input is required.
Instead, you will help coordinate my financial affairs and ensure the correct professionals have the information they need.
7. Separation of Personal & Business Finances
Where applicable, you will maintain clear separation between:
- Personal finances
- Business finances
- Property
- Personal assets
- Liabilities
Records should be structured so that personal and business expenditure, assets, liabilities and cash flow can be clearly identified.
8. Cash & Liquidity Management
A key responsibility will be helping ensure I maintain an appropriate level of accessible cash.
This should take into account:
- Emergency reserves
- Upcoming taxes
- Large planned purchases
- Regular spending requirements
- Property commitments
- Vehicle commitments
- Expected expenses
- Cash held across different institutions
The objective is to avoid both extremes:
Holding unnecessarily large amounts of idle cash
and
Becoming unnecessarily illiquid because too much money has been committed elsewhere.
I want an intelligent balance between liquidity, security and spending.
9. Financial Planning
You will help maintain a clear financial plan covering:
Short Term
- Monthly spending
- Cash management
- Taxes
- Major purchases
- Upcoming commitments
- Property expenses
Medium Term
- Property
- Major purchases
- Lifestyle spending
- Business opportunities
- Large financial commitments
Long Term
- Wealth preservation
- Estate planning coordination
- Future property purchases
- Future business ventures
- Financial independence
- Long-term lifestyle planning
The role is focused on managing and advising on my personal financial affairs, rather than managing an investment portfolio.
10. Due Diligence & Major Purchase Checks
If I am considering committing a significant amount of money to something, I want the financial side properly investigated before I commit.
This may include:
- Property
- Businesses
- Vehicles
- Boats
- Aircraft
- Large personal purchases
- Other significant financial commitments
You should coordinate appropriate professional due diligence where necessary, including with:
- Accountants
- Solicitors
- Surveyors
- Tax advisers
- Insurance specialists
- Property professionals
- Finance specialists
I do not want important financial decisions to be based solely on information supplied by a seller.
11. Professional Adviser Coordination
You will act as a central point of coordination between my professional advisers.
This may include:
- Accountant
- Tax adviser
- Solicitor
- Mortgage/finance specialist
- Insurance broker
- Property professionals
- Other relevant specialists
I do not want to repeatedly explain my financial situation to multiple professionals.
You should maintain the overall picture and provide relevant information to the appropriate professional when required.
12. Monthly Financial Reporting
I expect a concise professional financial report every month.
For example:
Net Worth: £X
Cash: £X
Property: £X
Business Interests: £X
Other Assets: £X
Liabilities: £X
Monthly Income: £X
Monthly Spending: £X
Net Monthly Cash Flow: £X
Monthly Changes
- Net worth increased/decreased by £X
- Spending was £X
- Taxes paid: £X
- Major purchases: £X
- Property expenditure: £X
- Significant changes in assets/liabilities
Upcoming
- Tax payments
- Major purchases
- Property payments
- Insurance renewals
- Financing commitments
- Important deadlines
- Decisions requiring attention
The report should highlight anything I need to know rather than simply presenting raw numbers.
13. Financial Controls & Security
Given the highly confidential nature of the role, I expect:
- Strict confidentiality
- Appropriate cybersecurity
- Secure document storage
- Secure communication
- Strong access controls
- Appropriate financial controls
- No unauthorised payments
- Clear approval procedures
- Proper separation of duties
- Accurate financial records
- Appropriate audit trails
The successful candidate should have sufficient visibility of my finances to perform the role effectively but should not have unrestricted authority to move, withdraw or transfer my money.
Significant payments and transfers should require my explicit approval or appropriate dual authorisation.
14. Personal Assistant Responsibilities
Alongside the accounting and financial responsibilities, the role will include high-level personal and executive administration.
This may include:
- Managing important financial appointments
- Coordinating meetings with advisers
- Managing financial deadlines
- Organising important documents
- Maintaining calendars
- Coordinating property-related matters
- Coordinating insurance renewals
- Managing vehicle-related administration
- Assisting with major purchases
- Maintaining records of warranties and important documents
- Coordinating travel-related financial administration
- Preparing information for meetings
- Following up with professional advisers
- Maintaining an organised digital filing system
- Handling confidential administrative matters
The successful candidate should be highly proactive and able to identify what needs to be done before being asked.
15. Financial Advice & Independence
I want advice based on what is genuinely best for me.
I do not want someone whose primary incentive is:
- Selling financial products
- Earning commissions
- Receiving referral fees
- Encouraging unnecessary spending
- Generating unnecessary transactions
Any commissions, referral fees, incentives or potential conflicts of interest must be disclosed clearly.
I want someone who can provide independent, objective financial guidance within the scope of their qualifications and professional permissions.
16. The Person I Am Looking For
The ideal candidate will be:
- Highly experienced
- Financially sophisticated
- Extremely organised
- Discreet
- Trustworthy
- Proactive
- Independent
- Detail-oriented
- Commercially minded
- Comfortable working with significant personal wealth
- Comfortable dealing with senior professionals
- Excellent at communication
- Able to explain complicated subjects simply
- Confident challenging decisions when necessary
- Calm under pressure
- Highly analytical
- Extremely strong with numbers
- Technology proficient
- Exceptionally organised
- Focused on long-term financial stability
I am looking for someone who thinks several steps ahead.
17. Experience & Qualifications
Ideally, candidates will have strong professional experience in:
- Accounting
- Personal accounting
- Private client accounting
- Wealth administration
- Financial control
- Personal financial management
- High-net-worth client services
- Executive personal assistance
Relevant qualifications may include:
- MUST HAVE RELEVENT QUALIFCATIONS
Experience working with high-net-worth individuals would be highly advantageous.
Professional qualifications are important, but judgement, discretion, experience and integrity are equally important.
18. Ideal Working Relationship
I want this person to become my financial right hand.
I should be able to say:
“I'm thinking about buying this.”
or
“I'm thinking about spending £500,000 on this property.”
and have you help me understand the financial consequences before I make the decision.
You should know my financial position well enough that I do not have to explain everything from scratch every time.
You should understand:
- What I own
- What I owe
- What I earn
- What I spend
- What I am planning
- What commitments are coming
- How much accessible cash I have
- What major purchases I am considering
- How decisions affect my wider financial position
Ultimately, I retain complete control over my money and make the final decisions.
Your responsibility is to make sure those decisions are:
Informed. Organised. Rational. Financially intelligent.
19. What Success Looks Like
A successful candidate will ensure that at any given time I can quickly understand:
Where am I financially?
What can I comfortably spend?
What commitments are coming?
What taxes do I need to prepare for?
What major purchases should I be considering carefully?
What risks should I be aware of?
What major decisions require my attention?
And, most importantly, am I making financially intelligent decisions with my money?
This is intended to be a long-term, high-trust relationship, rather than a conventional accounting or administrative position.
The successful candidate will become a trusted member of my professional team and play an important role in keeping my personal finances organised, protected and financially efficient.
