At Apodi, we are looking for a compassionate, proactive, and detail-oriented Partner-Based Patient Services Administrator to join our growing team. This is an exciting and newly created opportunity to play a key role in supporting healthcare programmes that positively impact patients across the UK.
About the Role
As a Partner-Based Patient Services Administrator, you will be at the heart of our operational team, providing essential administrative support across our healthcare projects. Acting as a central point of contact for patients, carers, nurses, NHS Healthcare Professionals, and particularly our partner organisations, you will help ensure the smooth delivery of safe, effective, and patient-centred care.
This is a varied role that requires excellent communication skills, strong attention to detail, and the ability to manage multiple priorities within a busy and supportive team environment.

Key Responsibilities
- Prepare and distribute patient documentation for partner organisations ahead of appointments.
- Process appointment outcomes and communicate information to NHS HCPs.
- Manage patient appointments, cancellations and related administration using Apodi’s Patient Management System
- Act as a first point of contact for patients and carers via telephone and email
- Support the management of NHS email inboxes and incoming queries.
- Maintain accurate patient records and data in line with GDPR requirements.
- Assist with adverse event reporting and pharmacovigilance processes.
- Ensure compliance with company SOPs, client and partner requirements, and healthcare regulations.
- Escalate clinical or admin concerns appropriately.
- Support audits, reporting activities and continuous service improvement initiatives.
About You

Essential Requirements
- Previous administration experience.
- Strong customer service skills.
- Ability to handle confidential and sensitive information appropriately.
- Excellent time management and organisational skills.
- Experience working effectively as part of a team.
- GCSE (or equivalent) Grade 4/C or above in English and Maths.
- Good working knowledge of Microsoft Office applications, including Word, Excel, and Teams.
Desirable
- Experience working within a healthcare environment.
- Familiarity with patient management systems.
- Understanding of healthcare administration processes.
