Job Overview
We are seeking a dedicated and detail-oriented Administrative Assistant to support our team in a dynamic office environment. The ideal candidate will possess strong organisational skills and be proficient in various administrative tasks. This role is essential for ensuring the smooth operation of our office and providing excellent support to both staff and clients.
Duties
- Manage daily office operations, including scheduling appointments and managing calendars.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Handle incoming phone calls with professionalism, demonstrating excellent phone etiquette.
- Assist with clerical duties such as filing, photocopying, and scanning documents.
- Utilise Google Drive for document creation, spreadsheets, and presentations.
- Support financial record-keeping through Xero and Hubdoc accounting software.
- Add all information into our Chalkstring system for project specific financials.
- Maintain an organised filing system for easy retrieval of information.
- Collaborate with team members to ensure effective communication and workflow within the office.
- Develop and implement new administrative systems where necessary
- Maintain, develop and coordinate changes to the website & Social Media posts.
Experience
- Proficiency in Google Suite is essential; experience with Xero is a plus.
- Previous experience in an administrative role is preferred but not mandatory.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent verbal and written communication skills.
- Familiarity with general office procedures and equipment is beneficial.
- Ability to work independently as well as part of a team, demonstrating initiative and problem-solving skills.
