Working at the historic HMS Belfast, you will be responsible for planning and coordinating memorable events for our customers within one of London’s most iconic venues. As an Event Planner, you are at the heart of our operation, and we are looking for an individual who shares our energy and passion for creating exceptional customer experiences.
You’ll be managing confirmed conference and event bookings from planning through to delivery, working closely with our Sales, Operations, and wider venue teams to ensure every customer requirement is met, expectations are exceeded, and every event is delivered seamlessly.

Responsibilities:
-
Managing conference, meeting, and event bookings from confirmation through to delivery, ensuring all customer requirements are captured and met.

Acting as the main point of contact for customers throughout the event planning journey.
-
Conducting planning meetings and venue showrounds to confirm requirements and enhance the customer experience.

Coordinating event logistics and producing accurate event documentation, including Banqueting Event Orders (BEOs).
-
Leading event planning meetings and ensuring all customer requirements are communicated effectively to operational teams.

Ensuring event details, amendments, and booking information are accurately recorded and maintained.

Building strong relationships with customers, agents, suppliers, and internal teams to support exceptional event delivery and repeat business.

Supporting Sales and Business Development teams by identifying upselling opportunities and maximising event revenue.

Maintaining accurate CRM and booking system records, supporting reporting, forecasting, and financial administration processes.

Gathering customer feedback and supporting continuous improvement opportunities.

Supporting venue showcases, marketing initiatives, and promotional activities.

Maintaining compliance with company processes, service standards, and operational requirements.

Undertaking ad hoc tasks as required to support the Conference & Events business.
The Ideal Candidate:

Minimum 2 years’ experience in conference and events planning, hospitality sales, or event coordination.

Experience working in a customer-facing environment with a focus on delivering exceptional service.

Experience achieving sales, service, or performance targets with strong commercial awareness.

Previous experience using CRM, booking, diary management, or event management systems.

Strong organisational skills with the ability to manage multiple priorities and deadlines.

Excellent written and verbal communication skills.

Excellent attention to detail and commitment to accuracy.

Strong relationship-building skills with customers, suppliers, and internal teams.

Understanding of sales opportunities, upselling techniques, and revenue growth.

Strong problem-solving skills with the ability to remain calm under pressure.

Enthusiastic, confident, and customer-focused with a passion for events and hospitality.

Flexible and adaptable approach to changing business needs.

Strong team player with a proactive “can-do” attitude and professional approach.
Desirable:

Knowledge of Salesforce, Delphi or similar CRM systems.
