Dental Practice ManagerJob Overview
We are seeking a dynamic, organised and commercially minded Dental Practice Manager to lead and oversee the day-to-day operations of our dental practice.
The Practice Manager will play a key leadership role in ensuring the practice operates efficiently, delivers an exceptional patient experience and maintains the highest standards of clinical governance, compliance and professionalism.
Working closely with the Principal Dentist and clinical team, the Practice Manager will be responsible for managing staff, optimising practice workflows, overseeing financial and administrative performance, supporting patient satisfaction and driving the continued growth and development of the practice.
This is an energetic, hands-on role for an individual who is proactive, highly organised and confident in leading a multidisciplinary dental team.
Key ResponsibilitiesPractice Operations
- Manage the day-to-day operations of the dental practice, ensuring the practice runs efficiently and professionally.
- Coordinate clinical and administrative workflows to maximise surgery utilisation and patient flow.
- Ensure appropriate staffing levels, rotas and holiday arrangements are maintained.
- Monitor appointment availability, cancellations, failed appointments and diary utilisation.
- Develop and implement systems and processes to improve practice efficiency.
- Ensure equipment, materials, stock and facilities are maintained and appropriately managed.
- Work closely with the Principal Dentist and clinical leads to identify areas for operational improvement.
Team Leadership & Human Resources
- Lead, supervise and support the entire dental team, including dentists, dental nurses, hygienists, therapists, receptionists and treatment coordinators.
- Recruit, onboard and train new members of staff.
- Establish clear roles, responsibilities and performance expectations.
- Conduct regular staff meetings, appraisals and performance reviews.
- Support continuing professional development and staff training.
- Manage staff performance, attendance, conduct and workplace issues appropriately.
- Promote a positive, professional and collaborative working environment.
- Deal with staff concerns and conflicts fairly and promptly.
Patient Experience
- Ensure patients receive a consistently excellent level of service from their first contact with the practice through to completion of treatment.
- Monitor patient feedback, complaints and satisfaction levels.
- Ensure complaints are handled professionally, promptly and in accordance with practice procedures.
- Develop systems to improve patient communication, retention and recall.
- Work with the treatment coordinator and clinical team to improve patient journey and treatment acceptance.
- Maintain a welcoming, professional and patient-focused environment.
Financial & Commercial Management
- Monitor practice turnover, profitability, expenditure and cash flow.
- Assist with preparation and management of budgets.
- Monitor accounts receivable, outstanding balances and payment collection.
- Oversee daily financial and administrative procedures.
- Monitor treatment acceptance, conversion rates and patient retention.
- Identify opportunities to improve practice revenue and profitability while maintaining ethical standards.
- Monitor key performance indicators (KPIs) and provide regular reports to the Principal Dentist.
- Review supplier costs and negotiate where appropriate.
- Ensure appropriate control of practice expenditure and purchasing.
Compliance & Clinical Governance
- Ensure the practice complies with all relevant dental legislation, regulatory requirements and professional standards.
- Support compliance with CQC requirements, GDC standards, infection prevention and control requirements, safeguarding procedures, health and safety legislation and relevant HTM guidance.
- Maintain appropriate practice policies, procedures and records.
- Ensure staff training, mandatory training and compliance documentation are maintained.
- Support audits and inspections and ensure any required actions are implemented.
- Work with the clinical team to maintain high standards of clinical governance and patient safety.
- Ensure appropriate procedures are followed for infection control, sterilisation, medical emergencies, radiography and health and safety.
Marketing & Practice Development
- Work with the Principal Dentist and marketing team to support practice growth.
- Monitor marketing performance and return on investment.
- Support development of new services, promotions and patient acquisition strategies.
- Identify opportunities to increase patient retention and treatment uptake.
- Support the development of high-value treatment pathways, including cosmetic dentistry, Invisalign, implants and restorative dentistry.
- Maintain the practice's reputation and ensure consistently high standards of patient service.
Stock & Supplier Management
- Monitor dental materials, consumables and office supplies.
- Maintain appropriate stock levels and minimise wastage.
- Liaise with dental suppliers and negotiate pricing where appropriate.
- Ensure equipment servicing, maintenance and repairs are scheduled appropriately.
- Maintain accurate records of equipment and servicing.
Qualifications & ExperienceEssential
- Previous management or supervisory experience, preferably within a dental or healthcare environment.
- Strong leadership and people-management skills.
- Excellent organisational and time-management skills.
- Strong communication and interpersonal skills.
- Experience managing staff, recruitment, training and performance.
- Experience with financial administration, budgeting and cost control.
- Ability to analyse practice performance and KPIs.
- Strong understanding of patient service and customer care.
- Ability to work independently and make confident management decisions.
- Excellent IT and administrative skills.
Desirable
- Previous experience as a Dental Practice Manager or Deputy Practice Manager.
- Knowledge of CQC and GDC requirements.
- Experience with dental practice management software.
- Understanding of NHS and private dental practice systems.
- Experience in treatment coordination or dental sales.
- Experience managing a private dental practice.
- Knowledge of dental compliance, infection control and clinical governance.
- Experience supporting practice growth and marketing initiatives.
