The Workforce Planning Rota Resilience Analyst plays a key role in ensuring the effective delivery of workforce planning across Out of Hours and Clinical Assessment Services within Integrated Urgent Care (IUC). Responsible for filling, maintaining and monitoring rotas across all IUC regions, the post holder will ensure shifts are accurately resourced, published within agreed timescales, and maintained to support safe service delivery.
Working closely with Workforce Planning Regional Rota Leads and the Systems and Process Compliancy Manager, the role will identify and investigate rota, system and payroll discrepancies, maintain accurate workforce data within RotaMaster, and support continuous improvement through the development of automated processes and new ways of working. The post holder will also proactively manage rota gaps, escalate workforce risks, produce reports, and contribute to projects that enhance workforce planning efficiency and service resilience
This role will be a full time position aligned to our West Midlands services.
Support the Systems and Process Compliancy Manager by identifying, investigating and escalating issues within RotaMaster, analysing pay rates for discrepancies, maintaining accurate system data, and ensuring rota information is correctly updated for payroll purposes
Drive continuous improvement by identifying opportunities for new ways of working, process enhancements and automation, escalating recommendations to Workforce Planning Regional Rota Leads and the Systems and Process Compliancy Manager.
Provide rota administration support across Out of Hours and Clinical Assessment Services, developing a strong understanding of all IUC services to accurately and efficiently produce, maintain and publish rotas within agreed timescales.
Ensure effective shift coverage by issuing staff reminders, managing shift changes and absences, proactively filling vacant shifts, and escalating any potential rota fill risks in line with established escalation procedures.
Maintain accurate records of sickness, annual leave and workforce data, producing reports and rota information for Workforce Planning Regional Rota Leads, Service Delivery Managers and wider management teams as required.
Contribute to the successful delivery of workforce planning operations by attending meetings, supporting new projects, assisting rota administrators during periods of demand, and ensuring high standards of service across all IUC rota management activities.
Experience within a healthcare service environment, with a strong administrative background and an understanding of workforce planning, rota management and escalation processes.
Working knowledge of RotaMaster, including maintaining accurate workforce data, supporting rota delivery and ensuring payroll-related information is correctly recorded.
Excellent organisational skills, with the ability to manage high volumes of work, prioritise effectively and respond to frequently changing demands in a fast-paced environment.
A calm, resilient and adaptable approach, with the ability to work effectively under pressure, manage competing priorities and support service resilience.
Strong communication and interpersonal skills, with the ability to build effective relationships and work collaboratively across multidisciplinary teams.
Competent user of Microsoft Office applications, including Word, PowerPoint and Excel, with good data analysis and reporting skills and the flexibility to embrace new ways of working and continuous improvement initiatives.
