ABOUT US
We don't mean to brag... but helping young people succeed is kind of our thing.
Success Tuition & Training Centre (STTC) is an established tuition and training provider based in Maidstone, Kent.
Since 2017, we've been helping children and young people build confidence, strengthen their academic skills and work towards their goals. We currently provide support across 11+, English, Mathematics, Science, KS3, GCSE and A-Level programmes, alongside booster courses and educational academies.
Our motto is simple:
BRIDGING THE GAPS THROUGH EXCELLENCE.
And we're growing.
Alongside our established tuition services, we're continuing to develop the training and IT education side of the organisation.
And THAT is where you come in.
We're looking for a brilliant Admin / Marketing Assistant who can help keep the centre organised, support our learners and tutors, communicate confidently with families and clients, and help us promote our education and training services.
In short...
- We've got students to support...
- We've got tutors who need a great admin team behind them...
- We've got services we want more people to know about...
- We've got invoices, records, enquiries and marketing to manage...
We just need you!
THIS ISN'T JUST AN "ANSWER THE PHONE AND FILE SOME PAPERWORK" JOB
One minute you might be helping a parent with an enquiry.
The next, you'll be checking an invoice.
Then updating student records.
Then helping prepare some marketing information.
Then checking staff training records.
Then speaking to a potential client about one of our education or training packages.
Then jumping into QuickBooks or Excel.
If the idea of variety makes you think...
"Great — I'd hate doing exactly the same thing all day!"
...we should probably talk.
WHY THIS ROLE MATTERS
Behind every successful tuition session is a LOT happening behind the scenes.
Students need enrolling.
Attendance needs recording.
Parents need updates.
Invoices need sending.
Payments need following up.
Tutors need resources.
Records need maintaining.
Clients need communicating with.
And our education and training services need promoting.
You'll work directly with the Director of the Centre, helping make sure our administration runs efficiently while also contributing to the marketing and development of our services.
You'll become one of those people everyone quickly realises they can't do without.
No pressure.
WHAT YOU'LL ACTUALLY BE DOING
Your responsibilities will include:
Invoicing & Finance Administration
You'll help keep the financial admin side of the centre running smoothly by:
- Generating monthly client invoices
- Following up unpaid or late payments professionally
- Supporting bookkeeping activities
- Working with accounting software, including QuickBooks
If spreadsheets make you run for the hills...
This probably isn't the job for you.
Student Administration
Our students are at the heart of what we do.
You'll support the administration of their journey with us, including:
- Enrolment records
- Attendance information
- Progression records
- General student administration
- Maintaining accurate documentation
Accuracy matters here.
A lot.
Supporting Our Tutors
Our tutors are busy helping students learn.
You'll help make sure they have what they need by supporting with:
- Filing
- Ordering stock
- Finding and organising resources
- Reprographics
- General administrative support
Essentially, you'll help keep the wheels turning behind the scenes.
Communicating With Parents & Partners
We're a people-focused organisation.
That means you'll regularly communicate with:
- Parents
- Students
- Existing clients
- Potential clients
- Tutors
- Outside agencies
- Other professional partners
You'll arrange meetings where required and make sure people receive clear, friendly and professional communication.
So if you're confident speaking to people and you're not terrified of picking up the phone...
Excellent.
AND THEN THERE'S THE MARKETING SIDE...
This is where the role becomes particularly interesting.
You'll learn about the education and training packages offered by Success Tuition so that you can confidently discuss them with existing and potential clients.
You'll help us:
- Build relationships with potential and existing clients
- Promote our education and training services
- Communicate with prospective customers by telephone and face-to-face
- Support marketing through appropriate digital and other media
- Help generate greater awareness of our programmes
- Gather feedback from clients and learners
- Develop systems for capturing feedback
- Use that feedback to help us improve what we offer
You don't need to walk through the door knowing everything about our services.
But you do need to be curious, willing to learn and comfortable talking to people.
THE PERSON WE'RE LOOKING FOR
We're not expecting a superhero.
Although if you happen to be one, please still apply.
The right person will probably recognise themselves in quite a few of these:
You'll definitely need:
- Previous office administration experience
- GCSE English Language and Mathematics at Grade C / Grade 5 or above
- Strong verbal and written communication skills
- Confidence initiating conversations with people
- Good literacy and numeracy
- Excellent attention to detail
- The ability to work accurately and efficiently
- Good organisational skills
- The ability to prioritise your own workload
- The confidence to use your initiative
- The ability to work well as part of a team
- A flexible, adaptable "can do" attitude
- The ability to maintain both computerised and manual filing systems
- A willingness to learn and contribute ideas
- An understanding of the importance of GDPR, confidentiality and data protection
And importantly...
You definitely WON'T be a technophobe.
You'll be expected to work confidently with technology and have experience using packages such as:
- Microsoft Word
- Microsoft Excel
- Design software
- Accounting software such as QuickBooks
- General office and digital systems
You don't need to be Bill Gates.
But if someone says "Excel spreadsheet" and you immediately consider resigning...
We may not be a match.
SALES OR MARKETING EXPERIENCE?
Great.
It's desirable rather than essential.
Experience within marketing, education or a similar learning environment would also be useful.
What matters enormously to us is that you're:
- Friendly
- Personable
- Proactive
- Organised
- Flexible
- Reliable
- Enthusiastic
- Calm under pressure
- Comfortable communicating with different people
- Able to work independently when required
We want somebody who notices what needs doing...
and does it.
Not somebody who needs to be given a new instruction every 15 minutes.
WHAT A TYPICAL DAY MIGHT LOOK LIKE
Because this is a varied position, no two days will necessarily be identical.
But your day might include something like this:
Start of day:
Check emails, enquiries and outstanding administrative priorities.
Next:
Respond to parent enquiries and update student enrolment or attendance records.
Then:
Generate invoices and check whether any outstanding payments require following up.
Coffee. Obviously.
Next:
Update bookkeeping information or work through something in QuickBooks or Excel.
Then:
Speak with a potential client who wants to know more about one of our education or training programmes.
After that:
Prepare or organise information to support a marketing activity.
Later:
Help tutors with resources, printing, filing or stock requirements.
Then:
Update an HR, training or safeguarding record.
Later still:
Contact clients for feedback or organise feedback received through one of our services.
Before finishing:
Make sure records are updated, confidential information is stored correctly, important messages have been dealt with and tomorrow's priorities are clear.
And then...
Go home knowing that the work you've done behind the scenes has helped students, parents, tutors and the wider organisation.
Not bad for a day's work.
