Job Purpose
The Accounts Assistant plays a key role in supporting the day-to-day financial operations of the dealership. The position is responsible for assisting with purchase ledger, sales ledger, cash postings, reconciliations, vehicle accounting, and general administrative finance duties.
Working as part of the Accounts team, the Accounts Assistant will help ensure the accuracy and integrity of financial records while supporting the business in achieving its operational and financial objectives.
Key Responsibilities
Purchase Ledger
- Process and post supplier invoices accurately and in a timely manner.
- Match invoices to purchase orders and goods received notes where applicable.
- Reconcile supplier statements and resolve account queries.
- Assist in preparing supplier payment runs.
- Monitor outstanding invoices and aged creditors.
Sales Ledger
- Raise sales invoices and credit notes as required.
- Allocate customer receipts and payments.
- Reconcile customer accounts and investigate outstanding balances.
- Support debt collection activities and maintain accurate records.
Cash and Bank Reconciliations
- Post daily cash, card, and bank transactions.
- Process banking and cash receipts.
- Perform regular bank reconciliations.
- Investigate and resolve discrepancies promptly.
Vehicle and Dealership Accounting
- Assist with vehicle stock accounting and vehicle invoice processing.
- Support new and used vehicle sales administration from an accounting perspective.
- Process manufacturer bonuses, rebates, and warranty transactions where applicable.
- Monitor vehicle funding schedules and stock records.
Month-End Support
- Assist with month-end accounting procedures.
- Prepare reconciliations and supporting documentation.
- Help maintain accurate balance sheet schedules.
- Support the preparation of management accounts and financial reports.
General Finance Administration
- Maintain accurate accounting records and filing systems.
- Process journals and account adjustments as required.
- Assist with internal and external audit requests.
- Support colleagues across Sales, Service, Parts, and Administration departments.
- Undertake general administrative duties within the Finance Department.
Skills and Experience Required
Essential
- Previous experience in an Accounts Assistant, Finance Assistant, Bookkeeping, or similar accounting role.
- Good understanding of basic accounting principles and procedures.
- Strong numerical and analytical skills.
- High level of accuracy and attention to detail.
- Proficient in Microsoft Office applications, particularly Excel.
- Strong organisational and time management skills.
- Ability to work independently and as part of a team.
- Excellent communication skills.
Desirable
- Experience working within a motor dealership or automotive business.
- Knowledge of dealer management systems such as Kerridge/CDK, Keyloop, Pinnacle, or similar.
- AAT qualification or studying towards an accounting qualification.
- Understanding of vehicle accounting processes and manufacturer systems.
