This role requires the successful candidate to come into the office 5 days a week.
This is a varied, fast-paced office administration role within an established private family office. You will work closely with the principals, their wider family, and the existing PA team to ensure the smooth day-to-day running of the office.
This role requires someone who thrives in a busy environment, enjoys juggling multiple priorities and is comfortable managing routine administrative tasks as they are responding to changing priorities. You will be expected to use initiative, think ahead, remain highly organised and maintain exceptional attention to detail at all times.
The role includes administration, diary coordination, document management, travel support, research, office organisation and a wide variety of ad hoc duties. Priorities can change quickly, so flexibility and a proactive approach are essential. Out-of-hours support will be required when business needs demand.
A commercially minded approach is essential.
Key Responsibilities:
- Providing administrative support to the principals and the wider private office team.
- Managing complex and ever-changing diaries and calendars.
- Coordinating domestic and international travel arrangements, including detailed itineraries and private aviation where required.
- Preparing travel documentation and ensuring all arrangements are accurate and complete.
- General office administration, including document preparation, filing and record management.
- Processing invoices, expense claims and petty cash while maintaining accurate records.
- Researching suppliers, services and products, including cost comparisons and presenting recommendations.
- Purchasing gifts, arranging presentation and coordinating deliveries.
- Booking restaurants, events, appointments and other personal or business requirements.
- Assisting with administration relating to international properties and household matters.
- Supporting projects and business administration across the principals' various interests.
- Liaising professionally with suppliers, advisers and service providers.
- Undertaking any additional administrative or operational duties as required.
Hours: Monday – Friday, 9am – 5pm
