VEO Logistics is looking for an organised and proactive HR & Compliance Officer to support our growing transport operation in Milton Keynes.
This is a hands-on role covering recruitment, HR administration, employee compliance, training records, drug & alcohol testing, accident investigations and operational documentation. The successful candidate will help ensure our people, vehicles and internal records remain compliant, accurate and audit-ready.
Working closely with the Operations Manager and management team, you will take ownership of key HR and compliance processes across the business.
Key Responsibilities
Recruitment & Onboarding
- Manage the recruitment process for drivers, operational and office-based roles.
- Advertise vacancies, screen applicants and coordinate interviews.
- Complete pre-employment and right-to-work checks.
- Obtain references and required employment documentation.
- Coordinate driver onboarding and induction.
- Ensure new employees receive and sign all required policies, procedures and documentation.
- Maintain accurate employee files and recruitment records.
- Support the business in ensuring appropriate staffing levels are maintained.
HR & Employee Documentation
- Prepare and maintain employment contracts, offer letters and other HR documentation.
- Ensure employee contracts and personnel records remain complete and up to date.
- Maintain records of holidays, absences, training and other employee information.
- Assist management with probation reviews, performance matters, investigations and disciplinary processes.
- Ensure company policies and procedures are issued, acknowledged and kept up to date.
- Monitor expiring documents and proactively obtain replacements.
Driver & Operational Compliance
- Ensure driver documentation is complete and current, including driving licences, Driver CPC, right-to-work documentation and other required records.
- Coordinate and record regular driving licence checks.
- Ensure drivers have completed and acknowledged relevant risk assessments, policies, toolbox talks and safe working procedures.
- Maintain training and competency records.
- Identify missing or expired documentation and ensure corrective action is completed promptly.
- Support FORS and other transport compliance requirements.
- Help ensure the business remains audit-ready at all times.
Drug & Alcohol Testing
- Carry out the company's drug and alcohol testing programme in accordance with company procedures.
- Conduct random, for-cause and post-incident testing where required.
- Maintain confidential and accurate testing records.
- Escalate positive, refused or otherwise non-compliant tests to management in accordance with company policy.
- Maintain appropriate testing equipment and records.
Fleet & Compliance Documentation
- Ensure key fleet documentation and vehicle records are complete, current and correctly filed.
- Monitor documentation expiry dates and follow up outstanding requirements.
- Maintain records relating to vehicles, trailers and associated compliance documentation.
- Work with the operations and fleet teams to identify and resolve documentation gaps.
- Carry out regular internal checks of fleet and compliance records.
Accident & Incident Investigations
- Assist with and, where appropriate, lead investigations into vehicle accidents, workplace incidents, damage and near misses.
- Obtain driver statements, photographs, CCTV footage, telematics information and other available evidence.
- Identify contributing factors and recommend corrective actions.
- Ensure investigations are properly documented and followed through to completion.
- Identify trends and recurring issues that may require additional training or changes to procedures.
Risk Assessments & Health & Safety
- Maintain the company's risk assessments and associated safety documentation.
- Ensure relevant employees have read, understood and acknowledged applicable risk assessments.
- Review documentation following incidents, operational changes or identified risks.
- Assist with the development and implementation of new risk assessments, procedures and toolbox talks.
- Escalate unsafe practices or compliance concerns to management.
What We're Looking For
The ideal candidate will be highly organised, confident and comfortable holding people accountable for completing required documentation and following company procedures.
Experience within transport, logistics, fleet compliance or a similar operational environment would be advantageous.
You should have:
- Strong organisational and administrative skills.
- Excellent attention to detail.
- Confidence dealing with drivers, employees and managers.
- Good written and verbal communication skills.
- Ability to handle confidential employee information appropriately.
- Strong Microsoft Office and general IT skills.
- Ability to manage multiple deadlines and document expiry dates.
- A proactive approach — identifying compliance gaps rather than waiting for them to become problems.
- Previous HR, recruitment, compliance or transport experience is desirable.
Pay: £25,420.00-£30,000.00 per year
