Main Purpose
The Modern Apprenticeship Support Officer plays a key role in supporting the successful delivery, administration and compliance of Elite Training & Consultancy's Modern Apprenticeship programmes.
Working closely with the Quality & Contract Manager, Business Support Team, employers and the assessment team, the postholder will be responsible for maintaining accurate learner records, coordinating onboarding activities, ensuring compliance with contractual and awarding body requirements, and providing an excellent support service to apprentices and stakeholders.
The role also supports candidate onboarding and induction activity by ensuring paperwork, systems access, joining information and first assessor appointments are managed accurately and in a timely manner, supporting a smooth transition from induction into assessment delivery. Role Summary
The Modern Apprenticeship Support Officer will provide a critical administrative link between learners, employers and delivery teams, ensuring apprentices receive an organised onboarding experience while maintaining high standards of programme administration and compliance. The role supports learners during induction and programme commencement, with ongoing learner engagement and qualification-specific support transferring to the relevant assessor.
Key Responsibilities:
Candidate Induction & Onboarding
- Coordinate and schedule induction appointments for new apprentices following confirmation of programme start details.
- Support the delivery of induction arrangements by preparing information, resources and joining instructions for individuals and groups, both face-to-face where required and virtually.
- Provide clear administrative information on programme expectations, learner responsibilities and review arrangements, while directing qualification-specific queries to the relevant assessor where required
- Introduce apprentices to company policies and procedures, including Safeguarding, Equality, Diversity and Inclusion, Health & Safety, Data Protection and Complaints and Appeals Procedures
- Support learners in accessing systems, platforms and programme resources.
- Complete and maintain accurate induction records and onboarding documentation.
- Ensure induction paperwork and onboarding documentation are completed accurately and in a timely manner, including booking the learner’s first assessor appointment, to support a smooth transition from induction to assessment delivery.
- Identify and escalate any learner support requirements or concerns identified during onboarding.
- Support learner engagement during the onboarding and induction stage only, ensuring any follow-up requirements are passed to the relevant assessor once the induction has been completed.
- Maintain sufficient knowledge of Modern Apprenticeship programme structures, systems and processes to answer routine learner and employer questions accurately, escalating detailed qualification or assessment queries to the relevant assessor.
- Maintain regular communication with learners throughout the onboarding process.
- Administration & Compliance
- Assist in the onboarding process for new apprentices, including completion and management of all required start documentation.
- Audit apprenticeship start paperwork, ensuring any errors are identified and resolved promptly.
- Publish completed start documentation to learner SharePoint libraries.
- Maintain and update learner tracking systems and internal databases.
- Collate qualification evidence, prior achievement information and supporting documentation.
- Ensure accurate and timely input of learner information into all required management information systems, including FIPS.
- Investigate and resolve any validation anomalies identified through management systems.
- Maintain learner records in accordance with contractual, compliance and awarding body requirements.
- Support the registration, audit, certification and quality assurance processes associated with apprenticeship delivery.
- Report concerns relating to incomplete or inaccurate documentation to the Quality & Contract Manager.
- Audit review documentation to ensure compliance with funding and contractual requirements.
- Update learner review trackers and circulate reports to delivery teams.
- Support the Quality & Contract Manager with compliance monitoring, management information requests and audit activities.
- Maintain accurate learner records including personal details, programme status and progression information.
- Prepare reports and administrative information as required.
- Attend operational meetings and record actions where required.
Learner and Employer Support
- Act as a first point of contact for learners, employers and stakeholders regarding programme administration matters.
- Respond to enquiries professionally and efficiently.
- Facilitate effective communication between apprentices, employers, assessors and support staff.
- Support learner retention by maintaining positive engagement throughout onboarding and programme commencement.
- Provide a high standard of customer service to all stakeholders.
- EAL/ Qualifications Scotland & MA Online Responsibilities
- Register learners for the appropriate Group Award within required timescales.
- Register learners on the relevant apprenticeship management systems.
- Process learner withdrawals and amendments as required.
- Manage certification processes in line with company procedures.
- Audit learner records prior to certification.
- Store certification records securely within learner records systems.
- Coordinate the distribution of certificates to learners.
- Ensure all certification processes are accurate, compliant and completed within required timescales.
General Responsibilities

Pay: £15,000.00-£22,000.00 per year
