About Aspire
Aspire is Leeds' premier private events venue. Housed in the former Yorkshire Penny Bank building on Infirmary Street, we offer four floors of exclusive event space - from the grand Banking Hall and Mezzanine through to the Sterling, Statement and Ledger Suites, the Chambers and our smaller boardrooms and meeting rooms.
We deliver conferences, awards dinners, weddings, exhibitions, private parties, Christmas events and outside catering, supported by an in-house kitchen, in-house AV and technical team, and our own event styling, floristry and furniture provision. Everything is bespoke. Nothing is off the shelf.
The role
From small corporate meetings and conferences through to weddings, this role offers real variety and experience across a range of different events. No two days are the same.
The Events Coordinator contributes at every stage of the event process - planning, delivery and post-event evaluation - working alongside our Event Managers and Operations team. You'll take care of the detail behind every booking so that events reach the floor properly planned and properly briefed, and you'll be on site during events supporting delivery.
This is a hands-on role. You will be setting rooms and working alongside the team on event days, not coordinating from a desk. If you're currently in hospitality and want a route into event management, this is that route.
What you'll be doingPlanning and coordination
- Managing the event diary and room allocations, and flagging clashes, changeovers and pinch points early
- Preparing function sheets, floor plans, timings and running orders under the direction of the Event Managers
- Acting as a day-to-day point of contact for clients, responding to queries and confirming details
- Collating menu choices, dietary requirements, guest numbers, drinks selections and set-up requirements
- Booking and managing external suppliers, contractors and casual workers - security, DJs, entertainment, production, specialist hire
- Supporting the sales team with show rounds and proposals by providing operational knowledge and guidance
- Maintaining accurate records, contracts, deposits and event files
- Supporting billing, final invoicing and post-event client feedback
Delivery on site
- Preparing the venue to the client's specification - setting out furniture, installing cabling and AV equipment, and dressing rooms
- Supporting set-up, service, changeovers and breakdown across all four floors
- Ensuring the venue is presented to our standard throughout, including assisting with cleaning and turnaround between events
- Overseeing the guest experience during events and resolving issues as they arise
- Ensuring the service of alcohol complies with our premises licence and is delivered to the expected standard
- Completing stock takes and equipment audits as required
- Monitoring health, safety and wellbeing standards and carrying out testing requirements in line with legislation and our policies
- Complying with security, fire and all health and safety requirements
Team and commercial
- Working within budgeted guidelines and supporting the team to control costs and protect margins
- Supporting departmental targets and objectives
- Identifying opportunities to improve operational performance and guest experience
- Assisting other departments where needed and maintaining good working relationships across the business
What we're looking forEssential
- 1-2 years' hospitality experience, ideally within the events industry
- Full UK driving licence
- Excellent organisational skills and genuine attention to detail; small errors in an event file become large problems on the day
- Confidence handling several bookings at once and keeping the detail straight across all of them
- Clear, professional written and spoken communication with clients and suppliers
- IT literate, with a working knowledge of Microsoft Office - particularly Outlook, Word and Excel
- Willing to work hands-on during events, including evenings and weekends
- Right to work in the UK
Restaurant and food and beverage backgrounds welcome
We actively welcome applications from restaurant supervisors, assistant managers and food and beverage staff looking to move into events. If you've handled bookings, built a rota, dealt with suppliers and worked a busy service, you already have the foundations.
Desirable
- Previous experience in a venue or hotel environment
- Experience with event or booking management software
- Personal Licence holder
- Level 2 Food Safety, or above
