We are a high-energy, rapidly growing community sports coaching organisation dedicated to delivering top-tier after-school clubs, holiday camps, and youth sports leagues across Liverpool and Halton. We operate with high standards, structured digital systems, and a passionate team.
As our customer base and venue footprint expand, we are looking for a sharp, reliable, and proactive Operations & Business Administrator to take full ownership of our back-office, parent communications, and daily register pipelines.
The Role & Responsibilities
Reporting directly to our Operations Manager, you will serve as the core engine room of the business. This is not a passive reception role, you will actively drive our customer systems, follow up on new enquiries, and keep our venue operations running seamlessly.
- Lead Management & Parent Onboarding: Respond promptly to incoming parent inquiries (phone, WhatsApp, email, social media), process free trial requests, and execute friendly, professional follow-up sequences.
- Database & Register Maintenance: Keep our Wix CRM, digital registers, and venue rosters updated, error-free, and aligned with lead coaches daily.
- Payment & Invoice Administration: Track daily trial sign-ups, issue weekly school invoices, process membership subscriptions, and gently chase outstanding payments.
- Event & Campaign Support: Assist with printing school promotional materials, scheduling campaign updates for holiday camps, and coordinating trophies, certificates, and kit logistics.
Who We Are Looking For
- Tech-Savvy & Structured: Comfortable managing online CRMs (Wix, Google Workspace, WhatsApp Business), spreadsheets, and digital calendars.
- Exceptional Communicator: Warm, clear, and confident when speaking to local parents, school staff, and venue managers.
- Proactive Problem Solver: Highly organised with great attention to detail. You naturally spot data errors or missing contacts before they become pitch-side issues.
- High Trust & Reliability: Capable of working independently, managing your daily checklist, and taking true ownership of the role.
Hours, Flexibility & Room to Grow
- Flexible Core Hours: We offer a structured 20–25 hour working week tailored around a mid-day schedule (ideal starting window: 10:00 AM – 3:00 PM or 9:30 AM – 2:30 PM, Monday–Friday). We are happy to build a flexible schedule that accommodates local commitments or school drop-offs/pick-ups.
- Room for Growth: As our venue portfolio and camp operations continue to scale, there will be clear opportunities for this role to expand into higher hours, broader management responsibilities, or a full-time position for the right candidate.
