1 Crown Office Row Brighton is a leading barristers’ chambers based in the heart of Brighton, providing expert advocacy and advice to a wide range of clients. We are looking for a professional, approachable and well-organised Office and Client Services Coordinator to join our busy team, providing a warm first point of contact for clients and visitors while helping to keep the office running smoothly.
The role involves front-of-house duties, general office coordination, marketing administration and a range of practical administrative tasks, working closely with the Practice Managers and wider team.
Responsibilities
Front of House and Client Services
- Greeting clients, visitors and members in a warm, professional and helpful manner.
- Managing incoming calls, direct queries appropriately and take accurate messages when required.
- Preparing meeting rooms for conferences, hearings, mediations and other meetings, including supplying refreshments and equipment setup.
- Ensuring reception and client-facing areas are kept tidy, welcoming and presentable throughout the day.
Office Coordination and Facilities Support
- Ordering office stationery and beverages, ensuring appropriate stock levels are maintained.
- Liaising with contractors and tradespeople in relation to property and facilities matters, including heating, plumbing, cleaning, repairs, maintenance and meter readings.
- Managing confidential waste, refuse collection and related office services.
- Overseeing general office upkeep, helping to maintain a safe, organised and professional working environment.
Marketing and Events Administration
- Contacting venues, as directed by the Practice Managers, to obtain pricing, availability and event information.
- Supporting basic marketing administration, including maintaining and monitoring invite lists and monitoring e-mails in the events mailbox.
- Coordinating attendance lists for external events, including Law Society dinners, quizzes and similar activities.
- Assisting with social media administration in line with instructions from the Practice Managers.
- Supporting the preparation of submissions for legal directories and awards relating to Chambers and members.
General Administration
- Providing printing, photocopying and scanning support as requested by members and colleagues.
- Combining billing documents for submission to the Legal Aid Agency where required.
- Supporting the disposal and archiving of historic papers in accordance with internal procedures.
- Carrying out other administrative tasks as directed by the Practice Managers.
Essential Criteria
- Excellent communication and interpersonal skills, with a confident and professional telephone and front-of-house manner. You will be the first point of contact for clients attending or telephoning the office.
- Strong organisational skills, with the ability to manage a varied workload and prioritise tasks effectively.
- Initiative to proactively help colleagues, clients, visitors and members of Chambers.
- Good attention to detail and accuracy when handling messages, documents, event information and administrative tasks.
- Ability to remain calm, courteous and professional when dealing with competing demands or time-sensitive requests.
- Good working knowledge of Microsoft Office applications, including Outlook, Word and Excel.
- Ability to handle confidential information with discretion and sensitivity.
- Willingness to undertake practical office tasks and contribute to maintaining a tidy, safe and welcoming working environment.
Desirable Criteria
- Previous experience in a reception, office administration or similar role.
- Experience supporting events, marketing administration or social media administration.
- Experience of liaising with suppliers, contractors, venues or external service providers
- The successful candidate will be professional, approachable and organised, with excellent client care skills and the ability to work as part of a team, providing support to a busy office.
Hours and Benefits
- 25 hours per week, ideally worked from 9:30am to 2:30pm.
- Some flexibility around working hours may be available for the right candidate.
- Salary is supplemented by a yearly performance-related bonus.
Pay: £18,000.00 per year
