Overview
We are seeking a proactive and detail-oriented Bookkeeper and Finance Administrator to join our dynamic team. This is a key operational role responsible for the day-to-day financial administration and bookkeeping of the business. You will ensure the accurate and timely processing of payments, receipts, and financial records, while supporting the overall health and stability of the company's finances. The role also encompasses the management of our online retail bookkeeping, ensuring all digital sales, transactions, and platform activity are accurately recorded and reconciled.
Responsibilities:
- Accounts Payable: Process supplier invoices with accurate coding, ensure timely payments, and maintain up-to-date supplier records within Xero.
- Accounts Receivable: Raise and issue sales invoices, monitor outstanding payments, chase overdue accounts, and ensure timely collection of income in line with agreed payment terms.
- Bookkeeping & Reconciliation: Maintain the general ledger, record all financial transactions, and carry out regular bank and account reconciliations using Xero.
- Online Bookkeeping Management: Oversee and manage the bookkeeping for our online sales channels, ensuring all transactions are accurately captured and reconciled in a timely manner.
- Cash Flow Monitoring: Track daily cash movements and proactively flag any concerns to management to support financial stability.
- Compliance & Documentation: Ensure all financial processes comply with company policies and accounting standards, including VAT documentation and tax compliance support.
- Month End Accounts: Support the preparation and completion of month end close, including reconciliations, journal entries, and producing accurate financial reports for management review.
- Ad Hoc Financial Support: Assist with wider finance-related tasks and respond to internal and external financial queries as needed.
Skills & Experience
- Proven experience in bookkeeping and financial administration in a fast paced environment (essential).
- Proficient in Xero accounting software (essential).
- Strong attention to detail and high level of accuracy.
- Good understanding of VAT and basic tax compliance.
- Ability to work independently and manage workload across part-time hours.
- Excellent organisational skills with the ability to prioritise tasks efficiently.
- Attention to detail and a high degree of accuracy in data entry and record keeping.
- Effective communication skills for collaborating with team members and external partners.
- Ability to adapt quickly to new software tools or updates within existing systems.
