Role Overview
- Responsible for providing general administration for the workshop.
- Assistance with other workshop activities as and when required.
- Ensuring customer expectations are met and exceeded, and that all work carried out is in line with customer requirements and any extra work needed is authorised by the customer.
- Maximising mechanics efficiency via controlled management of the workshop booking diary, booking both MOTs and vehicle maintenance, knowing and checking times for work to be completed.
- Planning and managing the work load & issuing of work to mechanics.
- Ordering and pricing parts for customers, giving pricing quotes.
- Creating, updating and closing of job cards with notes and explanations added to ensure full understanding for the expenditure.
- Cost control. Ensure when parts are ordered that the best purchasing practice is used at all times by contacting suppliers and requesting quotes.
- Contacting suppliers to arrange collection of returns of un-used parts, ensuring they are dealt with in a timely manner.
- Creating sales invoices for customers in an efficient manner, having them ready for them to collect along with their vehicle.
- Dealing with minor damage claims according to the damage control process and following the correct process for major damage claims.
- Reporting to the workshop Manager.
- General housekeeping, keeping the office clean and tidy. Ensuring that the office supplies are fully stocked, both stationary and refreshments for staff and customers.
Essential
- Experience with any computer based accounts systems. (Sage, Xero, Quickbooks etc)
- IT skills in Microsoft Excel and Word.
- Excellent customer service skills.
- Ability to remain calm and work efficiently in a pressured environment.
- Team player.
- Good administration skills.
- Excellent communication and customer relations, both in person and over the phone.
Desirable
- Experience within an automotive industry is desirable
- Mechanical background
- Mechanical knowledge with experience of a workshop environment would be advantageous
