About the role
BSI Healthcare is seeking a highly organised, dependable and experienced Care Coordinator to join our Bristol team.
You will play an essential role in maintaining the continuity and quality of care provided to our clients. This includes coordinating staff rotas, covering care visits, supporting carers, responding to emergencies and working closely with the Registered Manager and Care Services Manager.
The successful candidate must be calm under pressure, an excellent communicator and capable of managing changing priorities in a busy care environment.
Key responsibilitiesScheduling and rostering
- Ensure all client bookings and care visits are appropriately covered.
- Prepare and issue accurate weekly staff rotas.
- Respond promptly to sickness, absence and last-minute changes.
- Optimise staff schedules based on location, availability, continuity, preferences and compliance.
- Coordinate training and shadowing schedules.
- Template new and existing care packages to reduce last-minute changes.
- Assign suitable work to new starters to help them build their contracted hours.
- Maintain accurate information on OneTouch, OnePlan or other care management systems.
- Ensure records support accurate payroll and invoicing.
Client referrals and business development
- Handle new client referrals professionally and compassionately.
- Clearly explain BSI Healthcare’s services to prospective clients and their families.
- Accurately record and monitor enquiries.
- Support the organisation’s growth through professional communication and service delivery.
Emergency and on-call duties
- Participate in the company’s on-call rota.
- Act as a first point of contact for urgent client and carer concerns.
- Respond appropriately to client illness, missed calls and emergencies.
- Liaise with GPs, next of kin, carers and relevant professionals when required.
- Ensure care visits remain covered and service standards are maintained.
Communication and compliance
- Communicate effectively with managers, Team Leaders, carers, clients and external professionals.
- Record communications, incidents and updates on the care planning system.
- Identify and escalate safeguarding concerns promptly.
- Record and report complaints, compliments and actions taken.
- Help maintain compliance with CQC requirements and company procedures.
Administration and recruitment
- Provide administrative support to the Registered Manager and Care Services Manager.
- Assist with recruitment, interviews and candidate enquiries.
- Support staff onboarding and allocation of work.
- Help maintain business continuity during severe weather, illness outbreaks and other disruptions.
Essential requirements
- At least two years’ experience working as a Care Coordinator.
- Good understanding of domiciliary or home-care services.
- Strong scheduling, rostering and administrative skills.
- Ability to work calmly and effectively under pressure.
- Excellent spoken and written English.
- Strong communication and interpersonal skills.
- Good IT skills and confidence using digital care management systems.
- Full UK driving licence.
- Ability to work in person at our Bristol office.
- Willingness to participate in the on-call rota.
- Existing legal right to work in the UK without employer sponsorship.
Desirable requirements
- At least two years’ administrative experience.
- At least two years’ home-care experience.
- Experience preparing or reviewing care plans.
- Knowledge of CQC standards, safeguarding and care-sector compliance.
- Diploma of Higher Education or a relevant health and social care qualification.
- Experience supporting recruitment, referrals or business development.
