With our busy office on Bank Street, we are looking for a flexible and extremely customer focused person to join our friendly team and be the first point of contact for visitors to Kilmarnock.
The ideal candidate will be a warm and friendly person who enjoys welcoming and talking with people, both on the phone and when visiting our offices. The position would suit an individual who is well presented, professional, computer literate and has the ability to provide excellent customer service within a client focused business.

Greet all visitors to the Kilmarnock office with a warm and approachable manner.
- Chaperone visitors to and from meetings, and make refreshments as required.
- Be responsible for setting up the boardroom and meeting rooms for all appointments and reset as necessary following all meetings.
- You will monitor visitor access and maintain security awareness.
- Tidy and maintain the reception and meeting rooms (boardroom and small meeting rooms).
- Deal with all outgoing mail daily, franking the mail, completing details in the mail book, and taking the mail to the Post Office.
- Receive, and sort all incoming mail and deliveries.
- Dealing with Petty Cash
- Handle any client books/records that are delivered to the office and ensure they are passed onto the relevant manager to deal with.
- General administration duties as required to support the work of the four Kilmarnock based Partners.
- General office management duties ensuring the office is maintained
- Administration of onboarding clients including AML duties – training will be provided
- Any other administration duties reasonably required by the firm.

Experience working in a professional office environment.
- Experience of electronic diary management.
- Excellent interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external to the firm.
- Excellent written and oral communication skills.
- Good basic IT Skills, specifically Microsoft Office applications: Outlook, Word, Excel.
- Ability to deal with sensitive information with discretion and to maintain confidentiality.
- Ability to deal with a busy reception and be calm under pressure.
