We are looking for a confident Ward Secretary with a passion for delivering outstanding care, making a positive difference to the lives of the people in our care at Cygnet Hospital Harrow working on Roxeth Ward.
You'll be working 37.5 hours a week, Monday - Friday (9am - 5pm)
Roxeth Ward is our 12 bed specialist mental health acute service for men.
Cygnet Hospital Harrow provides a recovery focused service treating a wide range of mental health problems. We also offer specialist diagnostic, assessment and inpatient services for individuals with mental health needs and who also have a dual diagnosis of autism spectrum disorder.
Your Day-to-Day...
Provide Administrative support to the clinical team
Point of contact for ward phone calls, transferring or taking messages when required
Responsible for all pre-admission, admission and discharge administration for service users such as, but not limited to;
Update ePrime with new admission information (and discharge. Ensuring contact details are kept up to date throughout stay
Creation of pending admission folder and New Patient folder on the N drive, and collation of required paperwork for it
Provide efficient administrative systems to support the referrals, admission and discharge process for patients and clinical teams
Liaise with nurse in charge to ensure new patients have had their photo taken
Liaise with GP practices regarding new admissions, to confirm registration and request medical summary
Working with the Mental Health Act admin team where needed
Administer the discharge surveys to service users and upload these on the relevant systems.
Co-ordinate CPA (Care Programme Approach), CTR’s (Care and Treatment Review), S117 Meetings, Business Meetings, Community Meetings, Staffing Meetings, morning MDT handover and other adhoc meetings, Liaising with internal and external agencies, booking and scheduling meetings, collating appropriate paperwork, creating agendas and taking and circulating minutes
Keep trackers up to date such as admission, ward round, CPA and discharges tracker
Type discharge summary reports as required by the Responsible Clinician and send discharge summaries to care coordinators and ICB/NHS Trust representatives
This role is responsible for providing cover for other administrative roles as needed.
You are...
An administrator with experience in health care & knowledge of mental health
Experienced with supporting with administrative duties within a fast-paced hospital environment Flexible, organised, able to prioritise workloads, solve problems & make decisions
Calm under pressure & can work under your own initiative
A strong written & verbal communicator with an eye for detail and excellent interpersonal skills
Highly proficient in the use of Excel, Word, Outlook, PowerPoint, Access, Windows & the internet
