Description
We are looking for a Operations Administrator to help deliver high quality coordination and administrative support within the Operations function, with a focus on the Health & Safety (H&S) team. This role is critical in ensuring smooth operations by providing essential administrative support, facilitating H&S and risk monitoring and supporting reporting requirements across the business
Key Responsibilities
Health & Safety and Sustainability Support:
Collect, verify and standardise key operational data from local offices, ensuring tracking systems remain accurate and up to date.
Draft and input action lists into Monday.com; maintain ongoing logs of open and completed H&S actions.
Monitor completion of risk assessments, identify overdue tasks and follow up with relevant stakeholders.
Collate utilities invoices and support onboarding progress for offices joining the central utilities process.
Help draft procedural documents, templates and workflow notes, ensuring version control is maintained.
Support the development and maintenance of intranet content relating to H&S and Sustainability.
Risk Team Support:
Maintain and update risk, control, incident and outcome registers in Monday.com and Excel.
Coordinate meetings and reporting cycles, tracking actions to ensure timely completion.
Manage document control, policy collation and evidence gathering for audits and reviews.
Support the management of business insurance policies, including data logging and renewal schedules.
Administer the gifts and hospitality register.
Assist with ad hoc projects such as offshore service reviews and policy consolidation.
Liaise across teams to collect updates, support governance processes and maintain accurate records.
Provide broader administrative support to the Operations function as required.
Key Requirements
Experience in an administrative role within a regulatory, compliance or risk-based team.
Knowledge of health & safety legislation is desirable but not essential.
Exceptional organisational and record-keeping skills, with a high level of attention to detail.
Able to manage multiple tasks, deadlines and stakeholders in a fast-paced environment.
Strong analytical ability, with confidence in reviewing data for trends or potential risks.
Additional Requirements
Excellent written and verbal communication skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Professional handling of confidential information, with a proactive and solution-focused approach.
