Job Description: Practice Manager & Dental Assistant

- Oversee the day-to-day operations of the dental practice, ensuring the clinic runs efficiently and to a consistently high standard.
- Manage and coordinate clinical, administrative, and front-desk teams.
- Develop staff schedules, manage rotas, and ensure appropriate staffing levels to support patient demand.
- Monitor staff performance, attendance, training, and compliance with practice policies and procedures.
- Oversee patient flow, appointment scheduling, diary utilisation, and overall patient experience.
- Manage practice systems, including Open Dental and other administrative and clinical software.
- Monitor practice KPIs, revenue, treatment conversion, outstanding balances, insurance claims, and overall financial performance.
- Support dentists and clinical staff with treatment coordination, patient enquiries, and complex patient matters.
- Oversee purchasing, inventory, supplier relationships, equipment, and general clinic facilities.
- Ensure compliance with Cayman Islands regulations, infection control, health and safety, confidentiality, and clinical governance requirements.
- Assist with recruitment, onboarding, training, performance management, and development of staff.
- Liaise with external suppliers, laboratories, insurance providers, contractors, and other third-party organisations.
- Handle patient complaints and concerns professionally and work with clinicians to resolve issues.
- Identify opportunities to improve operational efficiency, patient experience, and practice profitability.
- Support the implementation of new technology, systems, procedures, and business initiatives.
- Carry out other management and operational duties as required.
Clinical & Dental Assistant Support
- Assist general dentists and specialists during clinical procedures, both in-practice and in hospital settings as required.
- Prepare treatment rooms and ensure instruments, materials, and equipment are sterilised and ready.
- Take, process, and upload digital dental X-rays in accordance with radiation safety requirements and practice protocols.
- Provide pre- and post-operative care instructions to patients.
- Assist with delegated procedures, including Invisalign checks, nightguard and denture fits, and post-treatment reviews.
- Support dentists with accurate treatment notes in Open Dental or other clinical software.
- Assist with patient intake, consent forms, treatment plans, cost estimates, and insurance information when required.
- Maintain accurate and confidential patient records.
- Support the practice’s commitment to patient safety, clinical excellence, and exceptional patient care.
Qualifications & Skills
- Diploma or qualification in Practice Management, Healthcare Administration, Dental Assisting, or a related field preferred.
- Minimum 2 years’ experience in dental practice management or a senior dental/healthcare administrative role.
- Dental Assistant qualification (CDA or equivalent) preferred.
- Strong understanding of dental procedures, infection control, sterilisation, and patient safety.
- Experience with Open Dental or similar practice management software.
- Knowledge of dental insurance, claims, pre-authorisations, and treatment coordination.
- Strong leadership, communication, organisational, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced clinical environment.
- Professional, proactive, and positive attitude with a strong focus on teamwork, patient experience, and operational excellence.
Pay: £55,000.00-£65,000.00 per year
