Overview
OpenSpace Cumbria Ltd and its sister company Cumbria Wildflowers are looking for a flexible and organised Office and Financial Administrator. We are based just outside of Carlisle and are offering a permanent part-time position with flexibility on hours. This role is vital in ensuring the smooth operation of our administrative and financial functions, supporting various departments with efficiency and professionalism.
Summary
To be responsible for the delivery of OpenSpace and Cumbria Wildflowers office administration and general financial matters including the administration of monthly and annual financial transactions. The role will also involve the daily management of office operations, provide administrative support to management and staff and ensure the office runs efficiently and professionally.
Responsibilities
- Delegated responsibility to manage all Sage 50 accounts software to include processing invoices, tracking payments, managing accounts receivable and payable.
- Bank and credit card reconciliation
- Processing & submitting VAT returns and other HMRC related submissions
- Manage incoming calls, emails and general correspondence
- Maintain office records, filing systems and databases
- Insurance application and management
- Arrange service, repair, MOT, and taxing of company vehicles.
- Fuel receipts and weekly pricing checks
- Provide administrative support and assistance to management and staff
- Assist with Tenders / Quotation
- Monitor office supplies and support procurement tasks
- Prepare and submit financial reports when necessary
- Any other administrative duties required for a smooth running of the office
Ensure management records, financial security, security of funds, financial confidentiality, programme administration and computer filing, as part of the role, are updated and maintained to a high professional standard.
Skills - Essential
- Full Driving Licence (UK or EU equivalent).
- Experienced in the use of Sage 50 Accounting Software up to version 27
- Previous experience of accounts management and admin work
- Good communication skills, both written and verbal, with excellent phone etiquette
- Proficient in Microsoft Office Word, Excel, Outlook
- Ability to work independently whilst contributing effectively within a team setting
- Ability to problem solve and dal with difficult situations
Pay: £15.00-£17.00 per hour
