LEVANT is a specialist uninterruptible power supply (UPS) service company focused on delivering a first-class service experience to our clients. Our sector is fast-paced and can be highly reactive because of the critical nature of the equipment we support. We are a close-knit team based at our modern office facility in Leighton Buzzard.
The Role
As Service & Contracts Co-ordinator, you will play an important role in the day-to-day delivery of our maintenance contracts and service operations. You will help ensure planned and reactive engineering visits are scheduled efficiently, customer and contract records remain accurate, and our clients receive a responsive and professional service.
You will work closely with the Managing Director, the Office UPS Maintenance and Contracts Manager, other co-ordinators, our Field Service Engineers and our clients.
Key Responsibilities
· Co-ordinate planned preventative maintenance visits and reactive engineering works.
· Manage Field Service Engineer calendars, balancing customer requirements, contractual commitments and engineer availability.
· Maintain accurate maintenance contract, customer and site information.
· Build and develop strong working relationships with customers by telephone and email.
· Process and check purchase orders received from customers.
· Review completed Field Service Engineer job reports for accuracy and identify where follow-up repair quotations are required before approved reports are submitted to clients.
· Prepare straightforward customer quotations.
· Input site-specific information into risk assessment templates.
· Collate monthly reporting information from our Field Service team.
· Provide general administrative support to the wider service and contracts team, including telephone answering, email management and filing.
UPS or electrical engineering experience is not required. Full on-the-job training will be provided to help you understand our services, terminology, systems and processes.
What We’re Looking For
Essential
· Previous administration, service co-ordination or customer service experience.
· Excellent organisational skills and strong attention to detail.
· Confident and professional written and verbal communication, including a friendly telephone manner.
· Ability to prioritise competing requirements and remain organised in a fast-paced environment.
· A strong customer service mindset and a positive, professional approach.
· Ability to take ownership of tasks and follow them through to completion.
· Ability to work flexibly, use your own initiative and contribute effectively as part of a team.
· Competent using Microsoft Outlook, Word, Excel, Teams and Microsoft 365.
· Reliable and punctual.
Desirable
· Previous experience scheduling engineers, technicians or other field-based personnel.
· Experience working with maintenance contracts or service agreements.
· Experience using field-service, scheduling, CRM or contract-management software.
· Experience within engineering, facilities management or another service-based business.
Working Environment
Because we support critical power equipment, priorities can sometimes change quickly. You will need to be organised, calm under pressure and comfortable re-prioritising work when urgent customer requirements arise.
This is a full-time, office-based position working Monday to Friday, 9.00am–5.30pm (37.5 hours per week, excluding a one-hour break).
