The Opportunity
We are Five&Co — a small, successful and growing leadership consultancy working at the sharp end of change with Executive and Senior Leadership teams across global Pharma and Life Sciences.
Our work is high trust, high impact, and deeply relational. We partner closely with our clients to shape how they lead, align, and perform — often at pivotal moments for their organisations.
We are seeking an effective and enthusiastic administrator to join the Five&Co team initially for a fixed period of 12 months who can support us in building a trusted partnership with our clients and delivering for the business.
The Person
The ideal candidate will have proven experience in providing high quality administrative support to a customer focused business. You will be someone who works hard to understand customers’ needs and is able to reflect that understanding in your written and verbal communications.

The Role
Primary responsibilities include:
- Assist the Head of Operations and Finance in preparing internal activity/financial reports to inform business decisions.
- Administer basic financial functions for the business, for example team payroll
- Administer our client contracting and invoicing processes
- Assist the team with planning and booking travel and accommodation
- Support production and distribution of client facing communications –bespoke reports and all correspondence
- Support our marketing activities through effective use of email campaigns, professional communications, and blog posts
- Help us quickly build professional relationships with new contacts through excellent interpersonal skills
- Provide administrative support to the MD
In detail
Business Administration (70%)
- Prepare simple, clear internal reports for the team on our finances and other business activities (e.g., preparation and delivery time, our web/social media engagement, etc).
- Support timely management of our contracting processes from PO generation to client invoicing.
- Support effective administration of our business finances including team payroll, receipts, and expenses
- Support responsible use of our resources, time, and money by booking travel and accommodation in line with Five&Co values and Client travel policies.
- Support the business in effective use of the Five&Co. Office 365/Co-pilot environment.
- Contribute to the effective management of our internal SharePoint folders and other business critical content.
Success looks like:
Operations running efficiently and reliably, with clear reporting, well-managed processes, and effective use of systems
External Communications (20%)
- Contribute to the development and final production of clear, compelling, easy to read client facing reports.
- Support the development and distribution of regular stakeholder communications (Thought Roundup, LinkedIn posts, etc)
- Create and manage timely, reliable mail campaigns to engage stakeholders in our regular events and marketing.
Success looks like:
Consistent and professional shared communications that enhance client relationships and drive engagement
Support to the Managing Director (10%)
- Support the Managing Director in the effective running of the business, acting as their assistant on diary management, and communications.
- Support the Managing Director and/or Head of Operations and Finance in dealing promptly and professionally with any business correspondence.
- Manage our business calendar of regular offsite events (inc venue sourcing and booking), scheduling and minuting Directors’ meetings.

Education, Experience, & Other Qualifications
- Relevant work experience in a business administration role - for e.g. organising people and processes to support the delivery of effective operations.
- Professional and clear verbal and written communication skills
- Confidence and up to date knowledge in how to get the most from the Office365 and Co-Pilot environment.
- Familiarity with software systems like Hubspot and Xero would be an advantage
Pay: £25,000.00 per year
