Administration Manager

RR Transport is a well-established and respected transport and storage company based in Redruth. With turnover of more than £30m, around 230 employees and a diverse customer base, we are recruiting an Administration Manager due to retirement.
The role
This hands-on role is responsible for the accurate and efficient running of customer billing, weekly driver pay administration and key transport-office processes. You will coordinate a small administration team and work closely with operations, finance, payroll, compliance, drivers, subcontractors and customers.
Key responsibilities
- Manage daily, weekly and month-end customer invoicing using Qargo and Sage.
- Ensure purchase orders, supporting documents, fuel surcharges and customer account information are complete and accurate.
- Resolve invoice queries and prepare sales and subcontractor accrual information at month end.
- Prepare the weekly driver pay file and check driver books, fit notes and related documentation.
- Process and reconcile subcontractor and self-bill invoices, investigating discrepancies.
- Line-manage two administration colleagues, allocate workloads and ensure cover for critical tasks.
- Maintain reliable processes across operations, finance, payroll and compliance.
- Manage associated administration, including petty cash, purchase orders, fuel keys, vehicle records, penalty notices, personnel files, archiving and periodic returns.
- Identify opportunities to simplify processes and make effective use of company systems.
About you
You will have:
- Experience in transport administration, customer billing, accounts administration or another fast-paced operational environment.
- A proven ability to manage high-volume, deadline-driven work accurately.
- Experience preparing payroll inputs, expenses or time and pay records.
- Confidence using business systems and spreadsheets, with the ability to learn quickly.
- Strong communication, organisation and problem-solving skills.
- Experience supervising or coordinating a small administration team.
- A resilient and discreet approach to payroll, personnel and commercially sensitive information.
Experience in road transport, logistics or warehousing would be advantageous, as would knowledge of Sage, Qargo, PeopleHR, self-billing, accruals or fuel-surcharge mechanisms.
