Are you an organised, proactive administrator who enjoys variety and being the person people can rely on to keep things running smoothly?
We're looking for an Administration Assistant to join our Glasgow team, providing key support to our Senior Management and Leadership Teams, while helping to keep the wider office organised and efficient.
What's in it for you?
This is a varied role where you'll have plenty of opportunity to use your organisational skills, work with senior stakeholders and make a real impact on the day-to-day running of the business.
You'll be trusted to manage your own workload, solve problems and adapt when priorities change. No two days will be the same. You'll enjoy the benefit of a hybrid working set up with the flexibility to work Fridays from home and a generous annual leave allowance of 45 days FTE. Our new spacious and modern office is located in the heart of Glasgow near Queen Street Station making commuting easy and green. Great barista coffee, tea, fruit, healthy snacks and monthly themed lunches are on us!
What will you be doing?
You'll be responsible for:
-
Coordinating travel, accommodation, diaries and meetings for senior leaders.
-
Preparing presentations, reports and other business documents.
-
Organising meeting rooms, external venues, lunches and team events.
-
Supporting the smooth running of the Glasgow office, including visitors, suppliers, post and office supplies.
-
Helping coordinate new starter onboarding, including desks, IT equipment and hot desks.
-
Raising and processing purchase orders for projects and other departments.
-
Acting as a key point of contact for colleagues, visitors and suppliers.
What are we looking for?
You'll ideally have experience in a similar professional administration role and be confident managing multiple priorities in a busy environment.
You'll bring:
-
Excellent organisation and attention to detail.
-
Strong communication and interpersonal skills.
-
Confidence using Outlook, Word, Excel and PowerPoint.
-
A proactive, adaptable and solutions-focused approach.
-
The ability to work independently, meet deadlines and respond positively to changing priorities.
Experience with purchase orders and invoicing would be a bonus, as would experience within a global organisation.
