Overview
We are looking for an organised, proactive and detail oriented Finance & Operations Assistant to support the day to day running of our fast paced, multi channel pet supplies business.
This is a varied role that combines finance administration, customer service support and general office administration. No two days are the same, so we’re looking for someone who enjoys keeping things organised, solving problems and supporting multiple departments.
The successful candidate will play an important role in ensuring our financial records are accurate, supplier issues are resolved promptly, customer queries are managed efficiently and the office runs smoothly.
Key Responsibilities
Finance Administration
Process supplier invoices accurately into QuickBooks.
Assist with supplier statement reconciliations.
Reconcile purchase invoices against deliveries and purchase orders.
Chase outstanding supplier credits and refunds.
Liaise with suppliers regarding damaged, missing or incorrect deliveries.
Investigate invoice discrepancies and pricing queries.
Assist with bank reconciliations and general finance administration.
Maintain accurate financial records and filing systems.
Support the finance team with ad hoc administrative tasks.
Customer Service Support
Monitor customer enquiries across multiple sales platforms and communication channels.
Process order cancellations and amendments.
Resolve customer issues efficiently or escalate where appropriate.
Liaise with warehouse and customer service teams to ensure prompt resolution of customer queries.
Maintain excellent response times and customer satisfaction.
Administration & Office Management
Provide general administrative support across the business.
Maintain organised electronic and paper filing systems.
Assist with document preparation, data entry and reporting.
Order office supplies and manage general office requirements.
Coordinate incoming post and deliveries where required.
Support management with a variety of operational and administrative tasks.
Assist with improving and documenting internal processes.
Skills & Experience
Essential
Excellent organisational skills and attention to detail.
Strong numerical ability and confidence working with financial information.
Good IT skills, including Microsoft Office (particularly Excel).
Excellent written and verbal communication skills.
Ability to prioritise workload and manage multiple tasks.
A proactive attitude with strong problem-solving skills.
High level of accuracy and confidentiality.
Desirable
Previous experience in a finance assistant, accounts assistant or administration role.
Experience using QuickBooks or similar accounting software.
Experience within retail, e-commerce or a fast-paced office environment.
Customer service experience.

The hours for this role will be Monday to Friday 9am-3pm (or 8.45am-2.45pm) working from our HQ near Kingsway, Derby.
