We support adults with mental health needs, learning disabilities, autism, older people, and individuals requiring support to live independently within their own homes.
As our service continues to grow, we are looking for an organised, reliable and proactive Administrative assistant to support the smooth running of our office and ensure high standards of administration and compliance.
Purpose of the Role
The Office Administrator will provide administrative and operational support to the management team. The successful candidate will help maintain accurate records, support staff recruitment and onboarding, assist with compliance, liaise with clients and professionals, and contribute to the efficient day-to-day running of the office.
Main Duties and ResponsibilitiesGeneral Administration
- Provide administrative support to the management team.
- Answer telephone calls, emails and general enquiries professionally.
- Manage office diaries, appointments and meetings.
- Prepare letters, reports, forms and other documents.
- Maintain electronic and paper filing systems.
- Order office supplies and monitor stock levels.
- Ensure confidential information is stored securely in accordance with GDPR.
Recruitment Administration
- Assist with advertising vacancies.
- Arrange interviews and send interview invitations.
- Prepare recruitment packs.
- Process new starter documentation.
- Carry out employment reference checks.
- Track Disclosure and Barring Service (DBS) applications.
- Monitor right to work documentation.
- Maintain staff personnel files.
Compliance Support
- Keep staff training records up to date.
- Monitor mandatory training and renewal dates.
- Track DBS renewals and professional registrations.
- Maintain compliance spreadsheets and databases.
- Prepare documents required for audits, inspections and local authority monitoring.
- Assist with CQC compliance documentation.
Care Administration
- Support with creating and updating care records.
- Assist with care plan administration.
- Prepare service user documentation.
- Maintain accurate electronic records.
- Support the coordination of reviews and assessments.
Scheduling Support
- Assist with staff rotas where required.
- Update electronic care management systems.
- Communicate schedule changes to staff.
- Support the coordination of emergency cover.
- Respond to enquiries from prospective service users.
- Liaise with local authorities, NHS professionals and other stakeholders.
- Maintain positive relationships with families and professionals.
- Handle enquiries sensitively and professionally.
Health and Safety
- Support office health and safety checks.
- Report maintenance issues.
- Assist with risk assessments where required.
